Job Description:

The Business Administrator plays a vital role in managing academic and administrative functions within the College of Veterinary Medicine (CVM). This position is responsible for overseeing the eValue system, facilitating professional communication programs, managing departmental budgets, coordinating IT procurement, and administering surveys and student job board operations. The role requires strong organizational skills, attention to detail, and the ability to collaborate with faculty, students, and external vendors to support educational and operational initiatives.

Key Responsibilities:

eValue System Management

  • Serve as the primary administrator for the eValue system, ensuring proper setup, user access, maintenance, and troubleshooting.
  • Act as the point of contact with the vendor, MedHub, to support faculty, course, and student evaluations, VM4 clinical year scheduling, and case log tracking.
  • Collaborate with faculty and students to enhance usability and facilitate new form development.
  • Prepare and distribute evaluation reports to department chairs and administrative personnel while ensuring compliance with university policies.

Facilitation of the Professional Communication, Assessment, and Learning (PCAL) Program

  • Oversee the planning, staffing, and scheduling of the VM3 Professional Communication course, ensuring coordination with up to 10 community volunteers.
  • Secure appropriate room reservations and ensure smooth execution of approximately 55 daily student encounters.
  • Manage volunteer assessments, process honorariums, and provide follow-up data to the lead instructor for course completion.

Cost Center Management for OCATS/OASA/IT

  • Serve as the Cost Center Manager (CCM) for multiple departments, overseeing budget reviews, transaction approvals, and account maintenance.

IT Procurement and Ordering

  • Manage all IT-related purchasing for the CVM through CyBuy, requisitions, and P-card transactions while ensuring compliance with best practices.
  • Verify funding approvals and coordinate with other department administrators for efficient ordering.
  • Monitor vendor communications and assist in tracking deliveries.

Survey Administration & Student Job Board Management

  • Administer and oversee annual surveys, including alumni, employer, and Senior Exit surveys, as well as ad hoc surveys for accreditation and administrative needs.
  • Manage the CVM internal job board in collaboration with the Assistant Dean.
  • Coordinate the administration of the Veterinary Educators Assessment (VEA) exam for VM3 students, including proctor recruitment, vendor communications, and payment processing.

• Represents the department on business affairs and/or faculty affairs to the institution community.

• Monitors and interprets operational policies and procedures in areas such as information technology, communications, and facilities.

• Prepares budgets and financial reports for grants, general appropriations, endowments, and other funds.

• Assists in establishing financial and operational systems to monitor, control, and verify expenditures and carry out financial analysis.

• Manages day-to-day operational needs of a department.

• May assist with employment business needs such as hiring of students, timekeeping responsibilities, and scheduling.

• May supervise students.
