Join Our Team as a Records Specialist
Are you detail-oriented, organized, and passionate about supporting students on their educational journey?  We’re seeking a dedicated Records Specialist to join our team at Indian River State College.  As a Records Specialist, you’ll be crucial in maintaining accurate student records and ensuring a smooth administrative process.
The Records Specialist is a full-time position and is pivotal in maintaining the integrity and accuracy of records at the Massey Campus (Fort Pierce). This role ensures that all documentation is managed effectively, supporting the institution’s commitment to accessibility and organization.Â
Key Responsibilities:

Assist students with admissions paperwork, residency documentation, and transcript requests.

Refer students to relevant resources within the college and the community.

Process and upload documents, ensuring accuracy and confidentiality.

Convert paper records to electronic format, maintaining data integrity.

Collaborate with faculty on attendance, grade entry, and registration corrections.

Manage archived files and handle returned mail.

Provide excellent customer service to walk-ins, phone inquiries, and email requests.

Respond promptly to Parchment requests for e-transcripts.

JOB SUMMARY:
Under direct supervision, processes documents and maintains records for the College. Duties include assisting students with the admissions process; processing and uploading documents; processing educational records requests; and working with archived files.
QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS:
The qualifications and skill requirements for this position include:
- Associate’s degree from an accredited institution;
- A minimum of two (2) years proven clerical work experience to include typing, word processing, and filing;
- Ability to work with a diverse student population as well as administrators, faculty and staff;
- Proven experience and proficiency with Microsoft Office and Windows-based applications;
- Ability to maintain strict accuracy and be detail oriented;
- Strong organizational skills;
- Exceptional communication skills – both verbal and written;
- Ability to be people-oriented;
- Flexibility to cover a variety of tasks whenever needed;
- Ability to multitask;
- Accurate data entry skills;
- Precise auditing skills;
- Exceptional history of academic performance;
- Strong customer service skills;
- Ability to relate to all types of individuals via telephone and in-person;
- The following qualifications are preferred:
- Bachelor’s degree or higher;
- Prior work experience in records and optical imaging;
- Prior experience using Workday;
- Knowledge of Florida residency law and FERPA law.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:
The essential job functions and responsibilities for this position include, but are not limited to:
- Assisting students with the admissions process;
- Processing educational records requests;
- Maintaining student records in a mainframe environment;
- Working with archived files in a variety of media;
- Working with faculty and Division Deans;
- Assisting the Student Success Division in support of all services provided to students;
- Providing exceptional customer service to both internal and external customers.
SPECIFIC DUTIES AND RESPONSIBILITIES:
The specific duties and responsibilities for this position include, but are not limited to:
Assisting students with application and residency documentation. Assisting students with waiver requests. Assisting students with transcript and records requests. Entering data into the student information system. Processing incoming transcripts. Processing enrollment verifications. Assisting faculty with attendance confirmations and grade entry. Assisting faculty and advisors with registration corrections. Assisting with athletic eligibility submissions. Imaging documents to student records. Referring students to appropriate institutional resources. Providing support to students in the planning and achievement of educational and career goals. Supporting the admissions process; Handling walk-in, telephone and email inquiries. Researching student records, including archived files; Managing records merges; Reconciling FLEID records; Responding to Parchment transcript and diploma requests; Maintaining FERPA compliance; Working a variety of Workday reports; Managing archived files. Completing other duties as assigned by the Registrar.
PHYSICAL REQUIREMENTS:
This position requires an ability to sit, stand, walk, bend, lift, reach up, stoop, and carry items occasionally in excess of twenty-five (25) pounds. It also requires manual dexterity to operate standard office machines such as copier, fax, calculator, telephone, and other equipment as necessary. IRSC expects its employees to follow proper safety standards while employed by the College.
