Job Description

The School of Public Health at the University of Nevada, Reno is recruiting for an Administrative Assistant 3.

 

This position provides support for students admitted to the program, providing direct support to the Department Chair, processing HR transaction, and maintaining fiscal accounts.

 

Duties Include:

Academic Support

  • Provide support to students admitted to program, connect students with advisor/program coordinator, answer enrollment related questions, change program of study, grades and/or advisor

  • Create and maintain student database, maintain application materials, create electronic files of course syllabi

  • Supervise student worker(s) to include hire, train, assign and review work

  • Assist faculty with travel

  • Maintain department inventory

  • Assist with development of course schedule and enter into PeopleSoft, review and proof room assignments

  • Set office protocol and operational procedures

  • Assist with other special events and projects

 

Chair Support

  • Assist with daily operations

  • Coordinate travel arrangements

  • Schedule appointments

  • Arrange meeting logistics

  • Prepare agendas and minutes

  • Assist Chair with graduate assistant's schedules and assignments

 

Human Resources

  • Act as search coordinator for faculty positions

  • Initiate hire, onboarding, and all Workday transactions for academic, LOA's, GA's, and all hourly employees

  • Human resources point of contact for department, explain rules and procedures before referring to Dean's office, if necessary

 

Fiscal

  • Maintain operating, self-supporting, and gift accounts

  • Establish and maintain comprehensive budget system

  • Reconcile p-cards, prepare a variety of fiscal documents, reports, spreadsheets, and/or summaries

Required Qualifications

  • This position requires graduation from high school or equivalent education and three (3) years of progressively responsible relevant work experience which included experience in one or more of the following areas:  maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR

  • One (1) year of experience as an Administrative Assistant II in Nevada State service; OR

  • An equivalent combination of education and experience as described above

Schedule

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.

Compensation Grade

Grade 27

In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate’s qualifications, internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.
