Job Description:

As a key member of the MAX HR Service Center Team this role supports the day-to-day operations in handling the employee life cycle from hire to termination. The successful candidate has strong organizational skills with a high attention to detail, time management and communication skills, and a dedication to outstanding customer support. This person must be enjoy dealing with highly critical and confidential matters. Our ideal candidate enjoys contributing to process improvements and is interested in gaining exposure to a variety of HR subject areas. This role will also have a specific focus on immigration. Works closely with subject matter experts and centers of excellence, to understand immigration and support the employee through their experience with Allison by providing professional HR mentorship and support.

Responsibilities:

  • Provide superior customer service to employees and managers through our MAX HR Employee Case Management Tool responding to inquiries including but not limited to benefits, time off, compensation, HR Policy and employee data by reviewing, analyzing and applying company policies, partnering with relevant internal departments and 3rd party vendors. Follow through to ensure all assigned cases are resolved and closed timely and appropriately.
  • Support HR knowledge base within the employee portal; close knowledge gaps by creating, updating and improving knowledge articles to keep information relevant for employees’ self-service.
  • Data entry and transaction processing in Workday HRIS system including on-boarding, new hire and termination documentation, hiring employees, interns, and contingent workers.
  • Collaborates across HR and with other functional groups to ensure alignment and integration on HR’s operational processes.
  • Conducts research to evolve standard processes and recommends solutions to improve procedures and increase efficiencies
  • Participates in HR projects in support of the global HR goals.
  • Be a superuser of Workday and appropriate systems and interfaces with Payroll, SharePoint, T&A systems to ensure that all relevant information is collected, accurate, and available to the business.

Immigration duties:

  • Lead immigration cases in partnership with legal counsel, including new petitions, visa transfers, amendments, and extensions. 
  • Prepare all invitation letters.
  • Initiate, review, gather appropriate information, get internal approvals, and monitor immigration cases. 
  • Organize and distribute information from immigration counsel into easily understandable action items for employees and managers. 
  • Educate and inform employees, managers, and HR business partners on North American immigration concerns, strategies, and guidelines. 
  • Assist Talent Acquisition Team with potential visa options and challenges for potential new hires.  
  • Update and maintain visa tracker to include work permits and social insurance numbers to ensure we are compliant with all government immigration standards etc.
  • Track immigration costs and work with counsel to achieve efficiencies . 
  • Maintain all immigration compliance records, including LCA, and PERM records plus LMIAs and Work Permits.
  • Assists with review and improvement of immigration process and procedures.  
  • Perform other job-related duties and projects as assigned

 Qualifications:

  • Bachelor’s degree with 2+ years HR employee engagement experience preferred
  • HRIS (Workday) and ServiceNow experience preferred
  • Immigration experience preferred
  • Experience working in a fast-paced professional corporate environment and passionate about representing the employment brand of an organization.
  • Passion for providing exceptional customer service in daily interactions
  • Strong administration skills with the ability to prioritize multiple tasks and challenging priorities – self starter
  • Sophisticated working knowledge of Microsoft Office Suite (Outlook, Word, Excel, and SharePoint)
  • Clear and effective communication skills with demonstrated ability to build strong working relationships
