Due to this growth Altus Group is looking for an Executive Assistant to play a key role in supporting the Chief Software Development Officer.  The EA is responsible for providing efficient and high quality administrative support. Given the current situation, you would start off working remotely and then transition into a hybrid position.

Our new Executive Assistant will:

  • Assist the Chief Software Development Officer and other senior leaders with administrative, research and coordination tasks.
  • Manage the executive calendars
  • Organize monthly executive and departmental meetings
  • Prepare agendas, minutes and meeting documents
  • Prioritize appointments and requests
  • Resolve calendar conflicts and negotiate rescheduling as necessary
  • Book appointments, meetings, rooms and lunches
  • Coordinate travel. Arrange complex and detailed travel plans, itineraries and compile documents for travel-related meetings across the globe
  • Manage approvals for recruitment, vacation requests and changes in Workday HRIS system
  • Provide a bridge for smooth communication with both internal and external stakeholders.
  • Oversee executive communication:
  • Prepare and/or edit letters, memos and mass emails
  • Prioritize incoming mail, calls, issues and requests, while determining the appropriate course of action, referral or response
  • Process emails
  • Respond to communications directly or indirectly
  • Create, format and edit documents and personal letters
  • Prepare and submit expense reconciliation for credit card and out of pocket expenses, and provide approvals for other team member expenses

Our new Executive Assistant has:

  • The education. A Bachelor’s Degree or a proven combination of education and experience at a technology organization.
  • The experience. 5-10 years of experience in a senior administrative role supporting multiple higher-level partners.
  • The soft skills. Good judgement, initiative, relationship building and proactive.
  • The technical skills. Expertise in MS Office particularly Outlook, Excel, PowerPoint
  • The balance. High attention to detail and a strong sense of urgency with all requests, inquiries and assigned tasks.
  • Superior administrative and organizational skills. Proven ability to effectively prioritize many conflicting demands and assignments.
  • Outstanding communication and interpersonal skills. From telephone to email. From presentations to letters. From one-on-one to large groups.
  • The personality. The drive and sense of ownership to perform effectively in a demanding high-growth, fast paced environment. High standards of ethics and confidentiality to handle sensitive information in a professional manner.
