Position Title: Payroll Specialist

Position Reports To Payroll Manager

Position Summary:

The Payroll Specialist is a critical member of the Payroll team responsible for ensuring timely and accurate processing of payroll for the assigned region and supporting Apache’s Payroll team on critical business processes such as payroll audits and maintaining accurate payroll records.

Essential Functions/Responsibilities

  • Coordinate with Apache HRIS/Workday support to set up new locals for the union business

  • Coordinate with union payroll partner to set up new union rates in Workday. Process union dues and benefits via check request and/or online remittance

  • Communicate direction with unions regarding rate changes, contribution inquiries, etc.

  • Answer employee questions concerning payroll Work with internal departments (Accounting, Legal, Risk) and external authorities to address audit requests and provide various payroll data reports (STD, FSA, Worker’s Compensations)

  • Identify improvements for payroll processes and procedures to ensure strong internal controls and efficient flow between Payroll and the other departments

  • Process certified payroll for all union business regions (West Coast, Midwest, and NEPA)

  • Document union contribution checks issued in Teams log up with union to confirm receipt by the union

  • Create standard operating procedure (SOP) for key payroll processes for the union business

  • Process all timesheets for assigned business regions

  • Serve as back up timesheet processor for other regions as needed

  • Support field admin team with questions or errors related to Solomon database

  • Audits timesheets prior to processing payroll to reduce payroll errors

  • Assists with payroll audits as assigned

  • Regularly communicates with field admin team regarding payroll deadlines, process enhancements and other payroll related matters

  • Other duties as assigned by the manager

Education & Experience

  • 2+ years of payroll processing experience working for a large organization or multi-state employer.

  • Direct experience supporting union payroll is required.

  • Strong knowledge of tax and wage laws

  • Knowledge of applicable local, state, and federal rules and laws

  • Experience using Workday and ADP is a plus

  • Knowledge of Solomon financial system is a plus

  • Proficient in Microsoft Office including advanced Excel skills (pivot tables, formulas, VLOOKUPS required)

Working Conditions/Physical Demands 

  • Remaining in a stationary position, often standing, or sitting for prolonged periods  

  • Frequent travel to work sites and offices (driving and/or flying)

  • Light work that includes moving objects up to 20 pounds

  • No adverse environmental conditions expected
