Job Summary

Under broad supervision, prepare and process payroll and other financial documents. Review, calculate and process payroll changes and adjustments. Review and reconcile payroll records for accuracy. Prepare and execute state and federal payroll taxes. Provide information to employees and outside agencies regarding payroll issues. Calculate and process all elected and mandatory payroll deductions including taxes, child support orders, insurances and garnishments. Handle escalated payroll issues. Mentors less-experienced peers and assist supervisors, but does not formally supervise others.

MAJOR JOB DUTIES AND RESPONSIBILITIES (List in order of importance)

  • Completion of new hire records, including verify/assign state reciprocity and local tax codes and assign relevant time & attendance profile.
  • Process terminations and final payments in accordance with federal & state requirements, and within company guidelines.
  • Process employee payroll change information such as garnishments, transfers and time system records.
  • Prepare, load and reconcile pay data batch files and time & attendance data.
  • Analyze pay data audit and exception reports to ensure payroll accuracy prior to payroll completion.
  • Identify, research, and resolve payroll discrepancies within strict time constraints, through independent analysis and evaluation, taking appropriate corrective action to avoid pay issues.
  • Provide service for Time & Attendance system, assist associates with system access, monitor daily transaction reports and identify interface errors. Work with service provider to resolve system set up problems and/or updates needed.
  • Produce reports to prepare returns/remittances, miscellaneous monthly/quarterly Workers Comp payments, payroll related state license fees and to complete Multi-location reports & Mandatory Census Returns.
  • Generate routine reports to create and prepare miscellaneous month end Journal Entries.
  • Analyze and evaluate existing process, document and implement improvements in process efficiencies.
  • Performs other duties as assigned.

QUALIFICATIONS (Education/Training, Experience and Certifications)

  • Minimum 2 years’ experience in a complex payroll environment processing multi-state/multi-entity payrolls with medium to large company/employee base.
  • Experience with Workday preferred.
  • Must possess strong PC skills with a working knowledge of Microsoft Excel and Word.
  • High school diploma required, 4-year degree preferred.

  • Established organizational skills including the ability to prioritize and manage multiple tasks & work under deadlines.

  • Have a high energy level and desire to succeed in a fast-paced business environment

ENVIRONMENTAL WORKING CONDITIONS & PHYSICAL EFFORT (Under Typical Positions)

  • Typically works in an office with adequate lighting and ventilation and a normal range of temperature and noise level.
  • Work assignments are diversified. Examples of past precedent are used to resolve work problems. New alternatives may be developed to resolve problems.
  • A frequent volume of work and deadlines impose strain on routine basis.
  • Minimal physical effort is required. Work is mostly sedentary but does require walking, standing, bending, reaching, lifting or carrying objects that typically weigh less than 10 lbs.
