Job Description:

The Human Resources Specialist assists with all areas of the HR department, and will support the HR transactional functions including, but not limited to, licensure/certification tracking, and compliance tracking. Provides assistance, and follow-up to client departments, employees, and/or members of the general public regarding specified policies, procedures and inquiries. Develops, expedites, and maintains the house wide new hire orientation, and various HR Survey data programs.

Essential Duties and Responsibilities:

  • Provides assistance and support for HR functions by answering various/general questions regarding benefits, orientation, policies, PTO/Sick time, performing administrative, and other duties as assigned, etc.

  • Responds to calls and visits from employees, managers, and others, and determines the urgency of the situation. Prioritizes, screens, and redirects call. Answers questions, handles routine matters, and takes messages.

  • Completes data entry (HRIS) notifications, and processes new hires, status changes, transfers, etc.

  • Assists recruitment with posting new and replacement positions, and maintains the posting as needed.

  • Triages applicant calls for recruiters. Pre-screens applications, and schedules candidate interviews.

  • Fills in for recruiters occasionally when the recruiters are out of the office.

  • Process all post-offer/pre-employment drug screens. Updates Employee Health spreadsheets as necessary.

  • Facilitates House-Wide New Hire Orientation. Coordinates with other departments, and prepares materials in advance for orientation.

  • Communicates with all presenters on their orientation needs.

  • Oversees compliance of the new hires on the day of orientation.

  • Responsible for Exit Interviews, 90 Day Surveys, ensuring completion of Annual and 90 Day Evaluations and Mandatory Education. Completes monthly/quarterly/annual reporting for these programs.

  • Maintains accurate logging and tracking of Exit Interview and 90 Day Survey data.

  • Provides Exit Interview and 90 Day Survey feedback to management concerning possible problems or areas of improvement.

  • Communicates with Management to ensure completion of staff Mandatory Education Modules and Performance Evaluations.

  • Responsible for the primary source licensure verification process for all positions requiring a license, notifies employees and department leadership teams of approaching licensure deadlines, lapse in licenses, and ensuring employee is removed from work schedule until license is in good standing or lapse deadline is expired.

  • Other duties as assigned.

Minimum Education, Experience, and Training Required:

  • Associates degree required. In lieu of a degree, a combination of education and experience may be acceptable.

  • One or more years of experience as an HR Specialist or department administrative support role.

  • Very strong computer skills, and experience using MS Office software – Outlook, Word, Excel and PowerPoint specifically required.

  • Database management skills.

  • Ability to multi-task, gather data, compile information and prepare reports.

  • Must possess strong oral and written communication skills and be able to communicate effectively using correct grammar and spelling.

  • Must have strong detail orientation and accuracy is a must.

  • Ability to handle highly confidential information and follow HIPAA guidelines.

  • Ability to resolve problems and interpersonal conflict and miscommunications in a professional manner.

  • Must be able to safely operate a vehicle and travel to Baptist facilities, if needed.

  • Workday experience is preferred.
