Job Description Summary

Academic Services serves the advising needs of both undergraduate and graduate students through academic advising and academic success programming. Graduate Academic Advising and Student Engagement focuses on the unique needs of Bentley graduate students whether they are enrolled full or part-time and attending their programs on campus or remotely.

Graduate Advising and Student Engagement works with Academic Departments, Graduate Program Directors, External Relations and the Registrar’s Office to assist students with their academic needs in collaboration with the Office of Graduate Admission, Graduate Academic Advising provides advising and guidance to pre-matriculated students to support enrollment yield.

Reporting to the Associate Provost of Academic Services and Operations, the Director is responsible for the development and delivery of academic advising and student engagement, contributing to the academic success of all graduate students. The Director develops strategic goals and manages all operational aspects of the graduate student experience ranging from pre-matriculation through graduation. The Director collaborates with faculty and staff across the university including frequently working with Graduate Admissions, The Division of Strategy and Innovation, Graduate Career Development, CISS, and the Associate Dean of Graduate Programs. The Director represents the university at programs and events designed to promote new post-baccalaureate opportunities for graduate and undergraduate students.

Additionally, the Director manages and supports the on-going professional development of the graduate advising and student engagement staff. As part of the leadership team in Academic Services, the Director assists in leading initiatives to enhance the services of the office and support the university’s strategic plan.

Essential Duties

  • Working with Associate Dean of Business for Graduate Programs and the Dean of Graduate Admissions, the Director of Graduate Advising operationalizes and supports new, evolving and on-going graduate programs through academic advising and student engagement. 

  • Supervises and fosters the growth and development of graduate academic advising and engagement professional and support staff which includes two Associate Directors of Graduate Advising, the Assistant Director of Graduate Advising, the Assistant Director of Graduate Projects and Engagement, and the Administrative Coordinator. The office also employs Graduate Student workers, Peer tutors and other hourly staff as needed.

  • Manages the communication plan for continuing graduate students to ensure students are informed of curriculum changes and other matters germane to graduate study. 

  • Collaborates with Graduate Admissions to convert accepted prospects into matriculated students through advising outreach, communication and various onboarding activities as needed.

  • Collaborate with Academic Departments, the Business Deans and Registrar’s Office to manage three times yearly graduate registration process.  

  • Work with Associate Provost for Academic Services and Operations on Graduate Academic Performance review, and correspondence and advising for students with academic issues.

  • Manage the time to degree process to foster the timely completion of degrees within the graduate school, approve leaves of absence, approve or deny requests for deadline extension beyond the standard 5-year time period.

  • Work with the Graduate Program Directors to assure an effective faculty/advising staff partnership for providing graduate advising services.

  • Represent graduate programs at Graduate Admission events and new program initiatives for other external audiences.

  • Attend Curriculum Committee, Graduate Council, and other committees.

  • Review merit scholarship appeals Collaborate with staff in the Office of Student Financial Assistance on correspondence with affected students.

  • Assist the Admissions team with onboarding the Graduate Assistants each fall.

  • Oversee annual update of the Graduate School Catalog to reflect changes in Graduate School programs, policy and practices related to academic advising.

  • Develop and ensure execution of a continuous enrollment initiative aimed at engaging unenrolled and leave of absence students.

  • Launch annual graduate Student Satisfaction survey and share results with staff faculty and graduate student community.

Marginal Duties

  • Participate in Graduate Orientation Activities

  • Serve on leadership team for Academic Services

  • Work with the Center for International Students and Scholars on difficult situations related to international graduate students.

  • Partner with the Student Health Office in the event of a health event impacting student mandates

Supervisory Duties

  • Provide direct supervision to a staff of four professional staff members and a support staff member.

Minimum Qualifications

  • Master’s degree plus 7+ years of related experience in a higher education or similar setting including a minimum of 2 years of prior supervisory experience.

  • Experience working with a broad range of constituencies across multiple departments or offices.  

  • A strong interest in supporting graduate students and graduate programs.

  • Experience working  with evolving and changing academic environment for education programs with a high tolerance for ambiguity within a fast paced industry.

Preferred Qualifications

  • Master’s degree in higher education administration, student affairs or counseling preferred.

  • Experience working with graduate students in a higher education setting.

  • Interest and experience working with international students.

  • Familiarity with academic technology including Workday Student, or other student information system, EAB Navigate, Degree Works. Proficiency in Microsoft Office Suite.

Work Environment

  • Typical office setting with extensive sitting and computer work

  • Ability to travel to meetings and events within and outside of campus
