Job Description:

Under the supervision of the Associate Director of Career Services, the Student Employment Frontline Administrator will be a key ambassador for all aspects of the Berklee Student Employment program and a representative of the Career Center and is responsible for assisting in the administration of the daily operations for student employment administration, policies, and procedures. Works directly with students, staff, and faculty on issues pertaining to the Student Employment Program at the College and Conservatory.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Acts as the first point of contact for student employee issues and questions and supports frontline student employment questions via office drop-ins, emails, and phone calls.

  • Assists with the student onboarding process for the Berklee Student Employment program by helping student employees with completing required paperwork, including processing the Form I-9, supporting documentation, completing Section 2 of the I-9 and any related follow-up. 

  • Oversee the maintenance of I-9 forms and to ensure compliance with federal regulations, and communicating outstanding tasks and key updates to colleagues and student employees as needed.

  • Maintains, updates, and runs reports on a suite of databases and systems for the Student Employment program, which includes Workday, FileMaker, Colleague, PowerCampus, and Informer.

  • Supports Student Employment team to increase the visibility of job opportunities on campus including posting to Berklee Career Manager, updating announcements on Berklee.edu, and creating content specific to student employees.

  • Assists with the campus-wide student hiring process to ensure that customer expectations are met and/or exceeded and advises students and supervisors regarding student employment including policies, application, hiring, and related issues.

  • Keeps up to date on federal and state employment rules and regulations to ensure appropriate compliance.

  • Assists with the biweekly student payroll process. Ensures that the office is providing accurate and timely information and documentation to the Payroll Department. Ensures that all data entry is completed, and provides assistance to staff, faculty or students to enter and approve time.

  • Assists in verifying employment eligibility using E-Verify, ensuring student information is accurate and students are eligible for employment.

  • Regularly monitors the eligibility of students, including GPA and credit registration, as well as social security and visa status.

  • Collaborates with other Career Center team members.

  • Other duties as assigned.

 

KNOWLEDGE AND SKILLS 

  • Strong organizational, administrative, record keeping, and analytical skills that require attention to detail. This is a high volume office that requires a resourceful, motivated individual who demonstrates follow-through.

  • Strong technology skills, ability to quickly learn new software programs. Working knowledge of Workday, FileMaker, and Google Suite. 

  • Familiarity with computer information systems and databases, spreadsheet, internet, video conferencing, instant messaging, and word processing software. 

  • Strong written and verbal communication skills: able to conduct both written and oral communication in an articulate, professional, and knowledgeable manner.

  • Understanding of policies, compliance, labor laws, Federal-Work Study, and international student Visa considerations.

  • Mature interpersonal skills, ability to communicate effectively and maintain positive relationships with a range of customers including students, faculty, staff, parents and external contacts in order to deal with a broad range of issues and personalities.

  • Ability to generate, receive and maintain confidential and sensitive files, information and reports and ensure security of all.

  • Must be creative, self-motivated, and have the ability to work independently.

  • Ability to manage multiple projects and priorities concurrently in a fast-paced environment.

  • Ability to relate to students, supervisors, faculty, and parents with diverse backgrounds and to work cooperatively as a member of the Career Strategy and Services team, with particular emphasis on student employment advising and operations.

 

SUPERVISORY RESPONSIBILITIES

  • Occasional engagement of graduate assistants and undergraduate student employees for training, events, and troubleshooting.

 

EXPERIENCE

  • Undergraduate degree required. 

  • 1-3 years administrative experience, higher education a plus.

  • Frontline customer service experience preferred.

  • Foreign language skills are a plus.

  • Experience with I-9 processing and the federal E-Verify system is a plus

  • Background in human resources and/or career advising is a plus.

  • Background or experience in music or arts is a plus.
