About the Role:
Reporting into the Associate Vice-President, International, the Executive Assistant provides professional and comprehensive administrative support in the areas of administration, organization, project, financial and management for the Office, which includes the Brock International and International Recruitment portfolios.
The Executive Assistant will:
- Serve as the primary liaison for all communications with the Associate Vice-President, International, utilizing initiative and judgment to ensure timely progress on all matters;
- Determine the nature and priority of business, and provide substantial direction and information to faculty, staff, students, and external contacts by way of in-person, email, and voice mail enquiries;
- Review all incoming materials and requests to determine appropriate actions, including handling confidential matters; oversee the Associate Vice-President, International’s email and voicemail, identifying information that requires follow-up; and proactively resolve problems and issues whenever possible;
- Utilize knowledge of the Associate Vice-President, International’s office and the related operational departments to ensure administrative priorities within the Office are properly executed;
- Develop and manage a complex calendar of appointments, meetings, social engagements, and university/community functions for the Associate Vice-President, International;
- Prioritize meetings, phone calls, emails, and tasks, anticipating requirements and preparing necessary materials and briefings in advance;
- Prepare and process cheque requisitions, travel expenses, purchase orders and purchase card reconciliations for the Associate Vice-President, International.
Key Skills and Experience:
- An undergraduate degree or College Diploma in a relevant discipline (e.g. Business Administration, Communications, Social Sciences or Humanities), or combination of education and experience;
- Demonstrated experience in an executive-level administrative support role;
- Ability to interpret and apply policies, procedures, collective agreements, and related guidelines;
- Proficient in budgeting, financial tracking, and record-keeping practices;
- Advanced computer literacy, including experience with Workday, Microsoft Office Suite, databases, web content management, and online research tools;
- Strong customer service orientation with the ability to engage effectively across diverse groups and organizational levels;
- Skilled in collaborative communication, consultation, and relationship-building;
- Capable of delivering sensitive information with tact and diplomacy;
- Process-oriented mindset with a focus on efficiency and continuous improvement;
- Resourceful in conducting research using a variety of internal and external sources;
- Sound judgment and analytical thinking, with the ability to resolve complex and time-sensitive issues.
Preferred or Asset Skills:
- Experience in a post-secondary environment;
- Knowledge of an additional language would be considered an asset.
Salary and Total Rewards:
- Job Grade K, Salary Scale ($61,286 – $99,384);
- Target Hiring Range: $61,286 – $65,000*
- This is a permanent position that includes:

*The final salary is based on experience, internal equity, and budget considerations within the target hiring range.
