Meaningful Work From Day One 

Reporting to the HR Director, the purpose of this position is to provide full HR and Office administration support (including payroll, Occupational Health & Safety, personal rights, car fleet and office supplies, etc) to support all Brown-Forman Turkiye employees.

What You Can Expect

On-boarding and off-boarding process
• Updating documents for the welcome pack
• Preparing the welcome pack
• Organizing internal training and induction meetings for new employees
• Preparing a set of mandatory documents for introduction of a new employee
• Organizing initial health and safety training
• Preparing referrals for obligatory occupational health examinations
• Collecting obligatory documents form new employee
• Responsibility for any administrative steps connected with dismissal (after documents have been signed)

Management of documentation and HR administration
• Collecting the social documentation and providing it to HR & Payroll provider
• Collecting vacation requests and controlling the employees’ vacation statuses
• Collecting sick leaves
• Supervising the validity and preparing new contracts of employment
• Updating the employees’ medical examinations
• Supervising the validity and organizing periodic health and safety training
• Issuing certificates of employment and certificates of earnings for employees
• Providing payroll with debt collection documents and the social insurance documentation
• Updating in the Workday system the employment and any changes in positions necessary for the correct state of data
• Maintenance of the organizational chart and the employment on an on-going basis
• Preparing the required HR and payroll documentation on an on-going basis


Cooperation with providers of employees’ benefits
• Updating lists of participants in the medical care
• Updating lists of insured employees in the insurance company
• Processing employees’ requests/complaints
• Ordering Sodexo vouchers according to company’s regulations and providing information to payroll


Travel & Entertainment & Training Management
• Leading process of timings agreement and participants calendars updates
• Organizing logistics needs – room, equipment, beverages
• Support HR Specialist in preparation of training materials


Office Administration & Car Fleet Management
• Monitor and order all office supplies including stationery, flowers, equipment etc.
• Manage and organize cleaning and/or reception support
• Be the point of contact on all office management, office supplies and car fleet duties


Other tasks
• Describing and settling invoices in Coupa
• Supporting the preparation of materials and data for business meetings (bizmix, annual meetings)
• Supporting the preparation of HR analyses and data
• Maintaining the calendar of HR activities in a given annual cycle
• Maintaining and organizing data and documents on the HR drive
• Updating the presentation of the HR team, responsible for the visual aspect
• Supporting the organization of departmental meetings of the HR team and Administration
• Maintenance and current monitoring of HR budget, both in the L&D area and in the scope of current expenses of the department

What You Bring to the Table

Education: College/University (Bachelors or Equivalent)
Experience: 5 – 7 years in HR & Office Administration & Payroll

Excellent written and oral Turkish and English language
