Job Description

The Desert Research Institute (DRI) is seeking an organized and dedicated individual to fill a full-time Program Specialist position. This role will enable you to use your organizational, reporting, coordinating, and relationship building skills. The Division of Earth and Ecosystem Sciences (DEES) focuses on a wide range of research that is used to help our Nevada communities and others across the world.

Under the Assistant Business Manager’s supervision, the Program Specialist will operate with independent judgement, discretion, and initiative in a variety of administrative, fiscal, and planning activities.

Responsibilities include, but are not limited to:

  • Assist with division correspondence, coordination with HR, and scheduling appointments.
  • Provide onboarding within the division for new graduate students and/or faculty and staff.
  • Distribute division mail, maintain division filing, help coordinate Division Director’s calendar.
  • Responsible for purchasing for faculty and division purposes.
  • Help coordinate division meetings and recruitment events.
  • Processing tasks in Workday (PO’s, P-card, Travel, invoices).
  • Create and maintain spreadsheets for special reporting.
  • Data entry and review using DRI timesheet program and Workday.
  • Review and process DEES motor pool billings, laboratory gas invoices, and all vehicle gas receipts and invoices.
  • Support other division program specialists as needed.
  • Assist faculty with everyday questions.

Required Qualifications

  • High school diploma or equivalent AND one year of full-time related experience OR an Associate’s degree with 6 months of related experience.
  • US Citizenship.
  • Valid driver’s license (to transport DEES motor vehicles for services).
  • Basic computer skills with MS Office Excel, Word, and Adobe Acrobat.
  • Ability to maintain confidential and sensitive information and documentation.
  • Strong organizational, interpersonal, and communication skills.
  • Ability to prioritize assignments and commitment to meet deadlines.
  • Detail-oriented with strong degree of accuracy and reliability as well as sound judgment.
  • Ability to work independently and carry out assignments with minimal supervision.
  • Ability to establish effective working relationships with fellow employees, departments, and other campus personnel.
  • Due to the current health and safety emergency declaration, anyone hired must receive a complete (and verified) COVID-19 vaccination series or an approved medical or religious waiver request as a term and condition of employment prior to any start date at any Nevada System of Higher Education (NSHE) institution.

Preferred Qualifications

  • Bachelor’s degree in a related field from an accredited institution.
  • Knowledge and familiarity with budgets, and the budget process
  • Experience working in a research, non-profit, or university setting.
  • Experience with database software (ARGIS).
  • Intermediate computer skills with MS Office Excel, Word, and Adobe Acrobat.
  • Experience with Workday (financial and personnel management system).

Conditions of Employment

  • Employment is contingent upon a successful completion of a background check.
  • This position may require the ability to perform physical tasks, such as moving or lifting objects up to 10 lbs., and occasional stooping, bending, and kneeling. Sitting and staring at a computer screen for long periods of time.
  • Both on campus and remote work required at this time. NSHE/DRI are following State orders of work from home when possible, during COVID, allowing for days of remote work, but certain tasks of this position require on campus work.
  • Must have a reliable internet connection with speeds that can support team conference calls and screen sharing during days of remote work. This position is not fully remote and will require relocation to Northern Nevada.
  • This position requires occasional driving to have vehicles serviced.

Compensation Grade/Benefits

This is a DRI Technologist position Grade 29 or 31 position depending upon qualifications, with a minimum starting base salary of $39,599 for a grade 29 and $42,863 for a grade 31.  Candidates will be hired at the grade and level that is comparable to their experience, skills, and abilities.

DRI offers a benefits package that includes health, dental, vision, and life insurance (Flexible spending and health savings account options available); PERS 15.5% retirement match, 10 hours of annual leave and 10 hours of sick leave accrued per month, 11 paid holidays, and educational benefits. Additionally, there is no state income tax or social security deduction. This position is eligible for relocation assistance.
