The Retirement & Leave Administrator role is an integral role to the Donaldson Human Resources team. This is a prime opportunity to utilize prior experience in Leave of Absence programs and work with many individuals inside the organization, while also working with outside vendors. This role will be a primary contact for many and will have an impact on a high-functioning team.

Role Responsibilities

  • Serve as primary contact and subject matter expert for employees and HR/management inquiries on all available Donaldson leave programs such as STD/LTD, FMLA, Military Leave, Parental Leave, Jury Duty, Bereavement, and Voting Leaves.

  • Serve as primary contact and subject matter expert for employees and HR/management inquires on retirement programs including 401k, Non-Qualified Plan, Employee Stock Purchase Plan, 529 Plan and Pension Plan.

  • Educate employees and managers regarding process, procedures and roles/responsibilities for various leave types and associated pay programs.

  • Administer disability and FMLA leave cases from initiation to completion in partnership with leave vendor and make sure leaves are aligned with the company’s policies and procedures.

  • Maintain data integrity between external vendors and internal HR and payroll systems.

  • Administer other leave requests making sure they are updated timely, are in accordance with the company’s policies and procedures and are aligned with federal and state-specific guidelines.

  • Administer and manage timely and accurate reporting of pay for applicable leaves by working with each site HR team members.

  • Ensure correct pay/PTO/Sick use and monitor the collection of benefit premium payments when employees return to work.

  • Facilitate and/or monitor employee transition to and from FMLA, LOA, short-term disability and/or long-term disability; coordinates return-to-work activities (i.e., required documentation, management/HR Business Partner).

  • Work with the Sr. Benefits Analyst for Leave and Retirement, disability vendor, and benefits broker to remain informed of regulatory changes and establish administrative processes to ensure compliance with state and federal requirements for leave related issues.

  • Assist HR and outside counsel on ADA coordination and return to work limitation assessments when needed.

  • Assist with audits and reconciliations between vendor systems and internal systems.

  • Communicate with employees on leave re: status of claims, expected return to work dates, providing updated medical documentation, etc.

  • Assist with retirement and leave administration project work and trainings.

  • Attend leave and retirement vendor meetings and provide feedback on program/policy changes, enhancements, system testing and document review.

Minimum Qualifications

  • Bachelor’s Degree in human resources, Business, or a HR related field.

  • 3+ years of experience working with retirement programs including 401k, pension, and non-qualified plans.

  • 3+ years of Leave of Absence related experience along with supporting multiple states.

  • 2+ years of Benefits Administration/ ERISA experience.

  • Fundamental knowledge of leave and Benefits related legislation, including but not limited to CARES Act, FMLA, ADA, ADAAA, Workers’ Compensation, Employee Retirement Income Act (ERISA); COBRA; HIPAA; the Fair Labor Standards Act (FLSA) and the Department of Labor (DOL).

  • Previous experience with retirement plan reporting (such as 5500 filings) and compliance with ERISA.

  • Ability to understand HR departmental processes and systems and understand interaction between departments.

  • Demonstrated ability to problem solve by adapting knowledge and experience.

  • Knowledge of state leave laws and compliance requirements.

  • Proficient in MS Office programs, strong excel experience is preferred.

  • Workday experience is desired
