Job Description:

The Director, Workday Operations is a member of the Enterprise Computing team at Fairfield University.  In this role, you will lead efforts around Workday HCM, Finance, Academics, Payroll, and Student. Working with a team of developers, administrators, and analysts within IT and various other departments on campus, you’ll drive implementation of new features and continuous improvement initiatives.  Fairfield is currently live on HCM, FIN, and PAY and has recently announced a decision to move to Workday Student. The Director will have the opportunity to shape these areas to ensure we maximize our ROI, deliver a superb student experience, and maintain efficient and effective operations.

The ideal candidate will have experience leading Workday initiatives across functional areas. The right person must possess a mix of function, technical, and business acumen to prioritize new projects; troubleshoot, assess and remediate issues; and work with partners across campus to enable new features and functions.  Higher Education experience is preferred but not required, but the incumbent must be able to learn and adapt to the higher education domain and become productive as quickly as possible.  Critical skills needed to succeed are: a passion to improve all areas of the University (good enough is never good enough), a keen awareness and empathy in managing student, faculty, and staff expectations and the ability to build solid relationships within his/her team and among the diverse constituencies at Fairfield.  Above all, the two most most critical success factors for this role are:

This is a highly visible position with direct access to University Senior Leadership who must build the credibility to be viewed as an expert in the Workday space.

Primary Responsibilities

  • Accountable for overall Workday efforts at Fairfield, including the implementation of Workday Student. This will require close collaboration with various campus divisions to understand their needs and ensure their feedback is incorporated into the program.

  • Gain thorough understanding of all Workday functionality in order to create and manage product roadmaps and prioritize the work of the Workday team.

  • Assess organizational impact and work with key stakeholders across campus to manage staff expectations, issues, and concerns, and help departments adopt new Workday features.

  • Review Workday documentation around feature releases, new products, and change logs and assess impact to university operations. Serve as project manager for twice-annual major releases to ensure testing is completed in a timely manner, training materials are updated appropriately, and new features are adopted as appropriate.

  • Help drive continuous improvement mindset across campus and champion use of Workday industry standard best practices within departments.

  • Lead the Workday Governance Committee and serve as a key member of the Workday Executive Steering Committee. Create dashboards, reports, and presentations for Senior Leadership.

  • Accurately interpret end user requirements and translate into actionable projects for the Workday team.

  • Work closely with the Workday team to ensure that the delivered capability meets departmental requirements and industry standards. 

  • Create necessary training materials, hold training sessions, manage the internal Wiki, and promote campus awareness of features and functions of Workday.

  • Review Workday activity reports and monitor system changes to ensure compliance (e.g. Separation of Duties, role changes, etc.)

  • Work with constituents across the Fairfield community to streamline existing processes and help ensure they align with university goals and objectives.

  • Manage vendor relationship with Workday, Kainos (automated testing), and other partners in the Workday ecosystem.

  • Manage Workday Tenants including the purchase of new tenants, coordinating tenant refreshes among various teams, and ensuring tenants are available for necessary testing.

 

Skills and Experience

Required

  • Strong understanding of Workday and the surrounding ecosystem (implementation partners, related systems, etc.)

  • Experience managing teams of 6-10 people through times of significant change.

  • Understanding of software development life-cycle phases including agile methodologies.

  • Experience creating Workday reports, calculated fields, and configuring business processes.

  • Systems and process-oriented thinker with the ability to synthesize information from disparate sources and anticipate impacts to a diverse group of stakeholders

  • Ability to develop relationships among all organizational levels.

  • Experienced in Microsoft Office suite as well as Business Process Mapping.

  • Excellent analysis, interviewing, communication, and team skills.

  • Ability to work both independently and closely with others according to project needs.

  • Highly adaptable and flexible to meet dynamic needs of the Higher Ed environment.

  • Ability to train end-users at various skill levels.

  • Must be a fast learner with a strong desire to learn the Fairfield culture and environment.

  • Bachelor’s degree in a related discipline required.

Preferred

  • Experience in a Higher Education environment.

  • Experience managing in a distributed/matrixed organization

  • Workday Pro certifications in HCM, FIN, PAY, or Student (or some combination of these)
