The Four Seasons Hotel New York Downtown is looking for a People and Culture Coordinator who fully embodies our values, shares a passion for excellence, and infuses enthusiasm into everything they do. As People and Culture Coordinator, you will be accountable for shaping the client experience by providing exceptional service in support of our world-renowned hotel. FSNYD is recognized as a Forbes 5 Star Hotel; Forbes 5 Star Spa and AAA 5 Diamond Hotel.

 

This position reports to the Assistant Director of People and Culture.

BASIC PURPOSE: To provide support and clerical expertise to People and Culture Department and respond to inquiries in an efficient, courteous, and professional manner to achieve maximum employee, applicant, or vendor satisfaction while complying with all Four Seasons’ policies. To coordinate all aspects of employees, new hires, job postings, payroll, applicant logs, etc. 

ESSENTIAL FUNCTIONS:

  • The ability to treat all employees in a friendly and courteous manner: the employees are our guests.
  • The ability to process confidential information without compromising the nature of the material or information.
  • The ability to answer telephone calls (Keeping with the Four Seasons standards), offering information, verifying present/past employment & handling personal calls for employees.
  • The ability to greet applicants and employees and handle all questions in a friendly manner.
  • The ability to screen applicants, do reference checks, forward applications to Department Heads and Division Heads, mail form letters, process new hires, and complete new hire files.
  • The ability to process and route incoming and outgoing mail including all communication with Home Office.
  • The ability to check the office mail a minimum of twice daily, by 10:AM and again before 5:00 P.M.
  • The ability to process Workday Business processes.
  • The ability to trace all due dates for managers, including reviews, training checklists and disciplines.
  • The ability to generate and distribute all monthly reports including overdue performance reviews, birthday ,anniversaries, new hire, and termination lists.
  • The ability to maintain the cleanliness of the office and order supplies when necessary including the operational condition of the area.
  • The ability to handle employee travel program requests, educational reimbursement submittals, employee relations requests, disbursement of medical and dental forms.
  • The ability to update and maintain the hotel’s electronic boards and newsletter.
  • The ability to process transfer inter hotel and intra hotel applications including copying of files.
  • The ability to track vacation, sick pay and comp night dates for each hotel employee.
  • The ability to process a terminated employee.
  • The ability to distribute any literature, forms, prizes, cards, etc. to employees when necessary.
  • The ability to assist in coordinating all employee related functions including Christmas party, children’s party, theme days, picnic, etc.
  • The ability to update the Training Program manuals.
  • The ability to operate office equipment such as a computer and copy machine.
  • The ability to process all benefit billing accurately and timely.
  • The ability to possess a high level of professionalism and integrity while maintaining the confidentiality of the office.
  • The ability to respond properly in any hotel emergency or safety situation.
  • The ability to perform other tasks or projects as assigned by hotel management and staff.
  • The ability to maintain files of qualified applicants for future positions, including logging of applicants and no thanks letters.
  • The ability to maintain complete files for all current and terminated employees via Workday.
  • The ability to maintain the job posting system and the turnover log.
  • The ability to ensure all newly hired employees are correctly processed (orientation, payroll, references checked, offer letters, etc.).
  • The ability to ensure that the cafeteria is clean and well decorated during holidays and social events.
  • The ability to ensure that the employee locker room is clean and orderly.
  • The ability to update the electronic signage.
  • The ability to maintain the applicant process in Workday.
  • The ability to support Compliance and Legal Requirements

NON-ESSENTIAL FUNCTIONS:

  • Assist in the planning and attend all employee recreation programs include holiday parties, children’s party, general meetings etc. Actively support the Lead with Care Committee.
  • Ensure that the cafeteria, employee entrance and lockers rooms are clean and orderly.
  • Assist with recruitment process.

Work authorization for the location is required.

Hourly Rate of pay range- $30- $33 an hour
