Accounts Payable Analyst – Accounts Payable – Georgetown University

Job Overview

The Accounts Payable Analyst, a member of a shared pool of expert financial analysts, performs several critical tasks with respect to their responsibilities for approximately $400 million in payments for purchased goods and services. Expected to be extensively cross-trained, they perform the full range of AP related transactions with consistent accuracy, timeliness and dedication to superior customer service and problem solving.  Responsibilities include but are not limited to:

Expense Management and Financial Analysis

  • Assure that invoices are paid correctly, timely, charging the right purchase orders (POs) and expense accounts, and according to university policy
  • Identify and resolve system errors preventing the processing of invoices
  • Identify, review, and resolve match exceptions preventing the payment of invoices

Reconciliation and Corrections

  • Reconcile supplier account statements, including identifying overpayments
  • Process credit memos and supplier refund payments to resolve supplier overpayments
  • Reconcile general ledger accounts, including identifying errors/non-reconciling items
  • Process accounting journals to correct for errors in general ledger accounts

Customer service to internal and external stakeholders

  • Resolve issues reported by procurement, department stakeholders, and suppliers
  • Communicate expected practices in expense management to suppliers and stakeholders
  • Communicate best practices in procurement to decentralized requisitioners/buyers

Work Interactions

Taking direction from the AP Manager and the AP Director, the Accounts Payable Analyst works independently and also shares common workload, interacting with a broad set of University stakeholders, across all campuses and business functions, including university suppliers/vendors.

Internally, this includes Senior Business Managers and Senior Financial Analysts, Procurement Managers and Directors, and up to AVPs and VPs. Externally, this includes AR Analysts and Supervisors as well as Client Relationship Managers and Client Executives, in managing and resolving vendor expectations for invoice processing and payment.


  • Bachelor’s degree
  • 5 years of experience in a high-volume finance, accounting, or business office.
  • An understanding of intermediate accounting and procurement concepts.
  • Ability to work in a fast-paced environment; ability to work under multiple deadlines.
  • Attention to detail and accuracy; ability to meet deadlines.
  • Proficiency with Google Workplace suite and MS Office suite.

Preferred qualification

  • Major in business, accounting, finance, or related-field
  • Advanced degree or certification
  • Experience with Workday Financials
