Job Overview

The Associate Director of Operations  is directly responsible for:  (1) overseeing all aspects of the Career Center’s operations, including front desk; recruiting programs and events; technology platforms, data collection and analysis; and marketing and communications, (2) liaising with Georgetown’s finance and procurement offices:  managing the Center’s revenue; purchase orders; contracts, memberships and subscriptions; and experiential learning stipend programs, and (3) liaising with Georgetown’s human resources personnel: recruiting and onboarding employees, requesting salary adjustments or position changes, and submitting HR-related requests via Georgetown’s Workday (GMS) system.

Work Interactions and Work Mode Description

The Associate Director of Operations reports directly to the Center’s Director and  supervises four full-time staff members:

  • Assistant Director, Technology and Assessment

  • Marketing & Communications Specialist

  • Manager, Recruiting & Leadership Programs

  • Office Administrative Manager

The incumbent will be responsible for understanding the GMS Workday financial system and be able to perform in the system at a high level. Active engagement with Main Campus Finance, Procurements and Contracts, Accounts Payable, and other University departments will occur on a regular basis.

This position advances the strategic goals of career and professional development writ-large at Georgetown, and ensures that students, employers, alumni, and other Center visitors have an exceptional experience when engaging in career programs on campus or virtually. 

WORK MODE:  This position has been designated as Hybrid 3 Days. Please note that during the height of recruiting (September/October and January/February), 4 in-office days per week may be required.  Work mode designations are regularly reviewed in order to meet the evolving needs of the University.  Such review may necessitate a change to a position’s mode of work designation. Requirements and Qualifications

  • Bachelor’s degree; preferably in a business-related field

  •  Five years of relevant experience; at least two years as a direct supervisor

Practical Experience: 3-5 years of financial and/or administrative experience, or equivalent combination of education and experience

Technical Qualifications:  Proficiency with Microsoft Office.  Will be required to learn and use Workday Financials.

Other Skills:  Must have excellent communication skills (both oral and written), ability to multi-task and delegate, good sense of organization and planning, problem-solving skills, and analytic ability.  A detail-oriented, service-focused professional demeanor and a team orientation is also required. The ability to develop rapport with professional staff, undergraduate students, employers, alumni, and faculty.

Preferred requirements:  Master’s degree; 5+ years of relevant experience; experience working in a finance or administrative unit at a university or college.
