Procurement Contract Specialist: World class opportunity in the diamond industry

The Location: This position reports to the Senior Manager of Global Procurement Operations located in Carlsbad, California at our corporate headquarters. We offer a flexible work-from-home schedule, with a few days in the office per week.

JOB OVERVIEW

Responsible for providing support to the Global Procurement Team as well as to GIA Stakeholders regarding procurement process-related issues. This role will ensure contract alignment and adherence to procurement processes and will be a focal point for procurement transactional operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Reviews and ensures contract alignment with business stakeholders’ procurement requisitions and purchase orders
  • Reviews purchase requests for completeness 
  • Properly converts business stakeholder purchase requisitions to Purchase Orders; Escalate issues to proper stakeholders when necessary
  • Builds and strengthen GIA’s ability to manage existing supplier relationships
  • Identifies and implements Vendor Relationship Management tools and requirements to improve efficiency and effectiveness
  • Proactively monitors orders to mitigate delays and expedite as necessary
  • Creates processes to monitor and report on supplier performance
  • Supports the development and execution of a robust communication and training plan to facilitate the effective application and awareness of Vendor Relationship Management
  • Maintains constructive and sustainable relationships with business stakeholders, and provides guidance on procurement policy, process, and system
  • Supports procurement operations to improve procurement efficiency through recommending and implementing procurement best practices to help improve work efficiency
  • Supports the Global Procurement Team and GIA Stakeholders on procurement-related topics as needed
  • Maintains the procurement process to meet or exceed business needs in a timely and efficient manner
  • Supports the business users by being available to assist with questions or challenges with requisition and purchase order submissions
  • Proactively monitors orders to mitigate delays and expedite as necessary
  • Monitors, tracks, and reports on supplier performance
  • Maintains systems in terms of vendor enablement, contract, and catalog management
  • Participates in process improvement projects and input to central-led projects
  • Supports procurement training of Workday for new hires when required
  • Provides administrative support to the department as needed
  • Other duties as assigned

TECHNICAL COMPETENCIES (Knowledge, Skills & Abilities)

  • Working understanding of the procurement environment and contract’s function
  • Experience in purchasing or transferable knowledge preferable.
  • Strong analytical skills.
  • Ability to cope with many contacts both internally and externally.
  • Willingness to learn, and practice new tools and ability to deal with changing environments (e-procurement, e-auctions).
  • Strong organizational skills.
  • Excellent grammar, written, and verbal communication skills.
  • Strong computer skills utilizing software such as Microsoft Office Suite, e.g., MS Word, Excel, PowerPoint; and Outlook.
  • Ability to maintain and foster sensitivity and respect for a culturally diverse work environment.
  • Ability to display supportive behavior and communicate positively regarding department goals and objectives.
  • Ability to deal effectively with a variety of personalities to establish and maintain effective working relationships. 
  • Excellent grammar, written, and verbal communication skills. Any other language skills are desired.
  • Ability to prioritize and resolve conflict when necessary.
  • Willingness and ability to travel domestically and/or internationally, if needed.

EDUCATION AND EXPERIENCE

  • Bachelor's degree in business or related field or equivalent combination of education and experience. 
  • One to two years of purchasing and contract experience in a corporate environment is required.
  • Experience with Workday preferred.

PHYSICAL REQUIREMENTS / WORK ENVIRONMENT (if applicable)

  • Hybrid Work environment.
  • Extensive use of office equipment to include computer, calculator, copier, fax, and other business-related machines and software.

The pay range for this position is $55,00-$80,000.
