The Role:

The Learning & Development Project Specialist plays a critical role within the Learning & Development (L&D) team, driving the execution of key learning initiatives and ensuring the efficient delivery of training programs across the organization. Reporting directly to the Director of Learning & Development, this role requires a creative thinker who can manage complex projects, collaborate with diverse stakeholders, and continuously improve L&D processes to align with business needs.
The Project Specialist will be responsible for the project management and administration of various learning programs, ensuring that they are effectively implemented and optimized. This role requires a proactive approach to managing logistical aspects, coordinating with internal and external partners, and leveraging data to enhance program outcomes. A high level of expertise in problem-solving, project management, and attention to detail is essential.

Responsibilities:
• Work with the Global Learning & Development team in project managing various companywide and business-specific learning programs.
• Creating and sending out training invitations and training event-related communications, setting up Zoom meetings and training sessions, booking internal/external venues and managing logistics for all learning programs globally, training room setup, catering, materials creation/preparation, attendance scheduling, tracking and follow-up, including creating and managing training evaluations.
• Conduct analysis on learning programs: attendance (and tracking through the LMS), learning hours completed across the Firm globally, feedback on learning programs including trend analysis.
• Oversee the logistical aspects of L&D programs, including scheduling, resource allocation, and coordination with trainers and facilitators.
• Develop and manage the annual L&D calendar, ensuring alignment with organizational goals and employee needs.

• Implement and refine operational processes to improve efficiency and effectiveness in program delivery.
• Provide project management support to Learning and Development initiatives as directed.
• Manage the Learning & Development Mailbox.
• Work with vendors to process all invoices and legal documents through appropriate internal channels.
• Continuously evaluate and improve L&D processes and systems to enhance efficiency and effectiveness.
• Prepare regular reports on L&D metrics and insights.
• Provide Intranet support – adding and changing programs, tools and content on the Learning & Development Intranet pages.
• Virtual Zoom training production – This includes managing participant engagement tools, like polls or Q&A sessions, sharing slides/audio and coordinating with presenters.
• Assist program leaders with side design and content creation.
• Other duties assigned as needed.

Required Qualifications:
• Bachelor's degree.
• Minimum of four-years of experience in a corporate Learning and Development function.
• Previous LMS experience required.
• Advanced MS Word, PowerPoint and Excel skills.
• Ability to work under pressure, balance multiple tasks and priorities.
• Excellent communication skills – verbal, written and listening.
• Strong interpersonal skills with the ability to build strong relationships with team members and key stakeholders.
• Experience dealing with people at all levels of an organization.
• Resourcefulness and strong problem-solving skills.
• Strong attention to detail.
• Budget management experience.
• Willingness to travel 10-15%.

Preferred Qualifications:
• Workday Learning experience.
• Professional services background preferred.
• Ability to analyze data and generate actionable insights.
• Ability to work collaboratively in a fast-paced, dynamic environment.

Pay Range Guidelines for this Position:

The salary range for this position is 80000 USD to 90000 USD. Compensation is based on several factors including but not limited to education, work experience and skills. In addition to your salary, Heidrick & Struggles offers discretionary bonuses (subject to eligibility requirements) and a comprehensive benefits package including: medical, dental, vision, disability leave, parental leave, paid time off and 401k contribution (all benefits are subject to eligibility requirements). Note: we have a location based compensation structure; there may be a different range for candidates in other locations.
