Job Description:

The Department of Mathematics is one of the premier research departments and the largest teaching unit on campus. There are approximately 200 undergraduate students, 86 undergraduate student workers, 94 graduate students, 60 active faculty members, 10 postdoctoral researchers, 1 classified staff, and 7 professional staff. The annual state appropriated budget is $8.6+ million per year.

This position is the secondary accounting position in the department. Responsible for all aspects of student employment management, travel and event management, reimbursement, and procurement to ensure departmental compliance with LSU policies and procedures. Serves as the Student Engagement Coordinator, and Travel Coordinator for all aspects travel arrangement including events, reimbursement processing and department travel.

35 % – Travel Coordinator responsible for all aspects of travel arrangement and reimbursement processing from restricted and unrestricted funds for department faculty, PIs, staff, students and postdoctoral researchers as well as visitors such as lecture series speakers, faculty and student colloquium speakers, departmental conference and workshop participants, and collaborating professors from other universities. Plans and executes department events which includes booking transportation, lodging, refreshments, meals, venues, and completing necessary Travel AS forms, spend authorizations and expense reports in Workday. Aids department membership on travel policies and procedures compliance, keeps apprised of updates to University Travel Policies including but not limited to PM-13, and PM-78 to apply knowledge in serving as subject matter expert on travel policy for department, attends trainings and meetings related to travel procedures, responds to auditor requests.

30 % – Departmental Student Employment Partner for over 80 student workers, including in the Math Lab and summer programs such as Math Circle. Process initial hires in Workday and coordinate on-boarding, including managing the I-9 employment verification process, processing job changes, compensation increases and terminations in Workday. The role is responsible for ensuring payroll is processed timely by monitoring time submissions and approvals and coordinating with multiple units on campus for any situations that require resolution regarding student pay, employment, and time entry. Serves as manager of student workers in Mathematics, and attends training and meetings related to human resources, student employment, and timekeeping. Keeps apprised of updates and applies practices of University Student Employment Policies including but not limited to PS-1, PS-30, PS-33, and PS-40.

15 % – Student Engagement Coordinator to participate in university sponsored events as a representative of the Department of Mathematics to promote mathematics as a course of study and engage current and future students by coordinating department participation and interacting with the LSU community. Collaborates with the College of Science and the LSU Foundation on donor events and department achievements. Attends meetings and keeps up to date on department membership achievements for opportunities in department advancement. Plans and executes Department of Mathematics participation in community outreach events and attends regular meetings hosted by the college communications team.

10 % – Sponsored Program Coordinator to assist the Business Manager in the management of all departmental sponsored projects, including review of monthly financial reports and communication with Principal Investigators regarding their effective dates, modifications to an award, allowable expenditures, balance and guarding against overdrafts. Generates financial reports, such as status, projections for close out, extensions, and anticipated spending. 

5 % – Inventory/Office Supplies – Maintains records on all departmental inventory, both LSU tagged inventory and non-tagged inventory. Works with the computer manager in the department to keep track of computer items. Orders and keeps track of all office supplies.

5 % – Other duties as assigned by supervisor, Chair, and Assistant to the Chair including special projects such as compilation of data for analysis and budget projections to plan for annual requests.

Minimum Qualifications: Bachelor's or equivalent degree in accounting, business, finance or related field; 1 year of experience in one of these fields or a related field.

Preferred Qualifications: University experience; Workday experience.
