Job Description:

The Business Operations Coordinator performs procurement and administrative support functions for National Center of Biomedical Research and Training NCBRT. The coordinator is responsible for navigating university procurement processes and maintaining compliance with all related regulations, including Federal Uniform Guidance. This position will facilitate department staff's purchases of meeting space, supplies, equipment, operating services, and consulting services. In addition, the coordinator will reconcile NCBRT shipping charges and assist the Business Manager with various grant-related data tracking. The coordinator will maintain typical departmental operations, such as telecom services, copier services, facilities, mail, and the main phone line. The coordinator is responsible for maintaining relationships with various central university departments, such as Procurement, Accounts Payable, Auxiliary Services, Facility Services, and ITS. 

Job Responsibilities:

1. Department Operations: Serve as the NCBRT point of contact for LSU ITS business functions, LSU Copier Management, Facility Services, and Mailing Services. Submit work orders in PCR-360 for ITS services, submit facility work orders, maintain space inventory, oversee mail distribution and NCBRT main phone line. Maintain office supply inventory and order supplies as needed. Issue staff badges and manage key card access and programming. (5%)

2. Staff Support: Ensure all NCBRT employees are compliant with university required annual trainings (currently includes Ethics, Accessibility Awareness, and Power-based Violence Prevention). Maintain department directory information. Assist staff with LaCarte enrollment and distribution, as well as navigating LSU business processes. Issue NCBRT new employee coins/certificates. Schedule staff meetings or other staff events at the direction of department leadership. (20%)

3. Procurement: Coordinate, process, and maintain all general purchasing expenditures requiring approval of the LSU Procurement Office. This includes obtaining necessary forms, reviewing and providing guidance on specifications, preparing requisitions, submitting receiving reports, ensuring accuracy of invoices, and liquidating POs. Review and maintain NCBRT annual contracts. Responsible for procuring meeting space, this includes performing department solicitations, tabulating and awarding bids, and coordinating contracting and payments. Ensure compliance with Uniform Guidance, federal, state, and university procurement rules and regulations. Attend all required Procurement trainings and meetings on NCBRT's behalf. Maintain Purchasing Agent Delegation. (50%)

4. Expenses: Reconcile shipping invoices. Pay direct charge invoices. Perform copier billing monthly. Conduct quality control checks on expense reports when required. Other duties as assigned. (25%)

Minimum Qualifications:

Bachelor's Degree and 0-2 years of professional experience related to major responsibilities. Experience in word processing, spreadsheet utilization, and database entry.

Preferred Qualifications:

3-5 years of professional experience in a university or government setting.

Experience working under university or governmental procurement rules/regulations. Knowledge of federal uniform guidance as related to procurement. Knowledge of Workday financial.

Special Qualifications:

Due to the nature of the position and/or position responsibilities this position shall be subject to drug/alcohol testing in accordance with University Policy Statement 67.
