Job Description:
Job Responsibilities:
Accounting & Budget: Assists with monthly ledger reconciliation and in monitoring balances for all Graduate School departmental accounts; independently makes projections of expenditures and account balances; assists with tracking expenditures for various Graduate School units and fiscal year-end closeout procedures; responsible for assisting in reconciling and closing out all unrestricted and restricted accounts as part of the fiscal year-end activity. Advises on budgeting issues, including grants and awards. Determines appropriate use of Foundation accounts, as part of the budget process, including all Workday processes. On a regular basis reviews Workday accounting and budget transactions for accuracy and completeness. 30%
Financial Support Services: Provides support to Graduate School staff by assisting with procuring items and processes requisitions/purchase orders/professional contracts through coordination with the Office of Accounting Services and Procurement; reviews invoices from contracts to verify for accuracy; assists in preparing budget amendments, internal billings, departmental transactions, and correcting journals to maintain accuracy of Graduate School accounts; monitors end of year purchases of supplies and equipment to ensure delivery and billing; serves in the Workday role as accountant-department for Graduate School accounts; assists in reviewing / processing Spend Authorizations and Expense Reports for all Graduate School staff; serves as back-up to the AD of Finance & Administration for accounts receivable/CARD deposits. On a regular basis reviews Workday financial and business support transactions for accuracy and completeness. 25%
Human Resource Management/Payroll: Assists AD of F & A with personnel action requests. Reconciles monthly payroll to general ledgers. Facilitates processing of additional compensation and stipend payments for Graduate School staff, including grant-related actions. 20%
Administrative: Assists with review and processing of travel arrangements for staff. Assists with purchasing of office supplies, equipment, including technology-related supplies and equipment. Assists with property inventory and building management. Develops and maintains strong working relationships with Graduate School units, university departments, colleges, and external partners. 15%
Other Duties as Assigned: Performs analysis and prepares reports as requested. Assists with other special projects as requested by the Assistant Dean of Finance & Administration. 10%
Minimum Qualifications:
Bachelor’s Degree with three (3) years of experience in an office setting. Knowledge of LSU policies and procedures.
Preferred Qualifications:
Bachelor’s Degree in Business.
