Job Description:
The Louisiana Space Grant Consortium (LaSPACE) is accepting applications for a program coordinator. LaSPACE is part of the National Space Grant College and Fellowship Program, which consist of 52 state-based, university-led Space Grant Consortia in each of the 50 states plus the District of Columbia and the Commonwealth of Puerto Rico. Annually, each consortium receives funds to develop and implement programs for student fellowships, internships, and scholarships, experiential, hands-on higher education student training, interdisciplinary space-related research infrastructure, K-12 educator professional development, and public outreach throughout the state of Louisiana. Although it is primarily a higher education program, Space Grant encompasses the entire length of the education pipeline including elementary/secondary and informal education. LaSPACE, in conjunction with NASA, the Louisiana Board of Regents, and LSU, supports an investment in America's future through Research, Graduate and Undergraduate Support, Workforce Development, and Pre-College Educational and Public Outreach to strengthen Science, Technology, Engineering, and Math (STEM) education for a diverse technical workforce, and to develop the research and economic infrastructure to boost Louisiana's contribution to the NASA-aligned goals and objectives. These activities are supported through both the NASA National Space Grant College and Fellowship Program and the NASA Established Program to Stimulate Competitive Research (EPSCoR). The LaSPACE Mission is: "To enhance Space and Aerospace related research, education, and public awareness throughout the state of Louisiana and thereby promote science, technology, engineering and math education, the training of professionals, and state economic development." The LaSPACE tagline is “Advancing NASA’s Mission in Louisiana.”
Responsibilities: Administrative Support: Monitors the LaSPACE email account, handles the incoming phone calls, and interfaces with stakeholders (PI's, students, accountants, etc). Processes incoming materials such as invoices and works with appropriate departments to ensure accurate and timely processing of materials. Handles travel and procurement logistics for the program and ensure documents for purchasing transactions comply with State and University guidelines, assisting stakeholders with all procurement and travel processes by completing forms, advising, and resolving issues (45%).
Documentation and Reporting: Process proposals and project amendment requests by logging submissions and performing basic compliance checks. Assists in the dissemination and adherence of policy and strategic planning documents and requirements. Assists in the preparation of subawardee documents as well as track the invoices and reporting forms for subawardees. Collects and tracks data for NASA reporting and reporting to other stakeholders (40%).
Event Planning & Outreach: In collaboration with the Assistant Director, assists with planning and executing outreach events and meetings to further the mission and goals of the program. Assists the outreach coordinator with events like International Astronomy Day, the library Maker Faire, LSU's 6th Grade Day, etc. Assist the Director, Assistant Director, and Program Manager in planning local, statewide, and national meetings (10%).
Other duties as assigned (5%).

Minimum qualifications: Bachelor’s degree in a related field with one year of related experience. Basic proficiency in commonly used Microsoft Office Products (Word, PowerPoint, Excel)
Special or physical qualifications: Travel as needed: 1 to 3 trips annually out-of-state and 1 in-state multi-day trip minimum for the statewide annual meeting. Work non-traditional hours some weeks to meet reporting deadlines, support public outreach events, and attend meetings.
Preferred qualifications:
Two or more years of university grant administration experience.
One or more years’ experience with general fiscal management/oversight.
Experience with university procurement, contracting, and HRM systems & requirements.
Experience with Workday.
High Proficiency with Excel.
Proficiency with Adobe Creative Suite Software.
