Administrative Assistant, Human Resources

Job Summary:

The Office of Human Resources at Muhlenberg College is seeking a service-oriented and self-motivated individual to provide administrative support of HR operations across a broad range of disciplines. Primary responsibilities include administrative support to the HR team, responding to inquiries and offering assistance to our campus community, preparing check requests, advising new employees on time tracking in Workday, and submitting staff associate time reports to Payroll. Tasks assigned may be wide-ranging and require a high degree of time management skills, accuracy, and diligence. The successful candidate will be able to efficiently complete assignments, respond to confidential matters with sensitivity and professionalism, and troubleshoot problems proactively.

Schedule & Benefits: The anticipated schedule for this position is 6.5 hours per day 9:30 AM – 4:30 PM, Monday – Friday, with a 30-minute unpaid lunch break. (32.5 hours per week/1,690 hours annualized). Characteristic Duties & Responsibilities:

  • Provide professional and welcoming reception to visitors, faculty, and staff, through in-person, email, phone, and other communications.

  • Prepare check requests and process invoices for payment for health insurance, dental insurance, life/ltd insurance, unemployment, advertisements, temporary agencies, etc. 

  • Audit time entered in Workday and prepare/submit biweekly staff associate payroll reports to ensure timely and accurate records for payroll.

  • Primary point person for hiring and administration of summer support staff.

  • Advise employees on use of Workday, including but not limited to, time reporting, vacation and sick accumulations, and use of holiday time.

  • Prepare email correspondence to faculty, staff and applicants.

  • Prepare and distribute COBRA & and FMLA notifications.

  • Prepare retirement and long-term disability enrollment letters.

  • Manage the College’s annual United Way campaign, including coordination of messaging, and raffle items.

  • Respond to general HR questions and requests from faculty, staff, summer workers, retirees, employment agencies, and other entities, as appropriate, in a timely manner.

  • Manage invites, attendance, catering, and equipment setup for HR-related meetings and events (e.g quarterly faculty & staff orientation).

  • Share promotional offers & other communications with faculty & staff (e.g. Dorney and Hershey Park discounted tickets, HR announcements, etc.)

  • Provide updates to HR department webpage, as directed and in accordance with College communications’ standards.

  • Post job announcements on Muhlenberg’s Career Opportunities page.

  • Track & reconcile COBRA payments.

  • Issue BERG ID numbers for new hires.

  • Assist with initiating background checks on new hires.

  • Assign and manage completion of required training to all new hires.

  • Serve as backup for entering and updating employee data in Workday.

  • Prepare retiree health insurance reimbursement communications and process requests for payments on a biweekly basis.

  • Produce HR reports and correspondence.

  • Create and scan files.

  • On limited occasions, ability to work flexible hours to provide office coverage or for special events, e.g. new faculty & staff orientation, etc. (<2%)

  • May perform other duties as assigned.

While no one person may possess all the qualifications listed below, the ideal candidate will have many of the following professional experiences and characteristics:

Qualifications:

  • High school diploma or equivalent required.

  • Minimum two years’ related experience in a professional office environment.

  • Strong proficiency with Google Workspace, MS Word and Excel.

  • Excellent organizational and time-management skills.

  • Strong oral and written communication skills, with the ability to represent the Office of Human Resources in a professional and welcoming manner.

  • Ability to prioritize assignments, meet deadlines, adapt to change, and ensure accuracy with keen attention to detail in a fast-paced environment.
