The Opportunity

The L&D and HR Assistant is responsible for assisting and supporting the wider HR team and NCC Group colleagues with L&D and HR activities in a fast changing, busy HR department. The department supports over 1,300 people across 6 countries.

The Challenge

  • Booking of external training
    • Finding supplier – for things like Fire warden training / first aid
    • Setting supplier up on the system, getting them to complete the relevant forms
    • Booking the individual on the training course – liaising with both the training company and the individual
    • Managing the payment process
  • Management of internal training (virtual or face to face)
    • Agree dates and times with the trainer
    • Check who should be attending
    • Create form and send to delegates to find out preferred dates
    • Schedule/reschedule people on to training
    • Maintain master spreadsheet
  • Administration of Compliance training
    • Ensuring all the correct versions of compliance materials are loaded on to the intranet
    • Setting up forms to collect confirmations and for people to complete quizzes
    • Send emails to all colleagues to complete the annual training and also to new colleagues to complete their induction training
    • Maintaining the master compliance spreadsheet, updating with new starters, removing leavers, moves in role
    • Downloading the completion data from the forms weekly and updating the spreadsheet and producing completion stats
    • When completed, uploading the completion information into workday
    • Keeping audit materials up to date – process maps, copies of emails, reporting etc.
  • Workday support
    • Reviewing and approving certifications in Workday (checking date, crowdsourced etc)
    • Creating EIBs for skills/certs to upload data
    • Creating new certs/skills including reference IDs so that can interface with Kimble
    • Managing queries on performance and talent
  • Apprenticeships
    • Reviewing potential apprenticeship providers and providing a short list for a manager/HR BP to review
    • When a supplier is selected – checking the British values section to ensure that it is in line with our inclusion and diversity policy
    • Updating the DAS (digital apprenticeship scheme) – with the individuals’ details, and apprenticeship
    • Checking on progress of apprentices
    • Maintaining master spreadsheet
  • Online training resources
    • Adding all new starters to LinkedIn Learning and confirming by email
  • General HR administration
    • Adding all new starters to LinkedIn Learning and confirming by email
    • Along with the HR Assistants, to assume the role of first point of contact for HR and with the general HR inbox
    • To support the HR Assistants with the full onboarding cycle, from the offer and contract through to the new colleagues’ first day, including Security Screening, policy and procedure overview and compliance training
    • To support with HR inductions for all new colleagues and gather data which will help to improve the content of the HR knowledge hub
    • To support the HR Assistants with employee administration tasks in our HR system (Workday) including job changes, terminations, benefit changes and promotions
    • To support the HR Assistants with written communications for any life cycle employment changes, such as job changes, benefit changes, compensation, line management etc.
    • To support the HR Assistants with the administration of staff benefits including pension, private medical insurance, cycle to work, childcare vouchers etc.
    • Audit new employee information, ensuring adherence to compliance processes, and liaising with new employees to request outstanding documentation
    • Provide reports and management information
    • To support the wider HR team with annual processes, such as pay review, bi-annual bonus payments, performance management, employee surveys etc
  • Liaise with all functions and departments nationally and internationally, providing information and assistance
  • Work closely with the wider HR team to ensure information flow and escalations where necessary
  • Work alongside external agencies to ensure SLA’s are met

Essential Skills

  • At least 6 months administrative experience, ideally within HR/L&D
  • Ability to use initiative and be a self-starter
  • Excellent time management
  • Attention to detail is crucial
  • Excellent organisational abilities
  • Good interpersonal skills
  • Good communication skills – ability to build rapport quickly
  • MS Office Skills – Word and Excel
  • Responsible for adhering to all internal policy and procedures in relation to security best practice
