Job Description

Nevada State College (NSC) invites applications for the position of Administrative Assistant 3 within the Career Services Center. This position will have a dual reporting structure to both the Director of Career Services and the Associate Dean of Student Development within the Division of Student Affairs. The Associate Dean oversees multiple areas within Student Affairs including Career Services, Student Life, Student Conduct, and Housing. The Administrative Assistant will specifically support the Associate Dean with their duties relating to overseeing the Office of Student Life and Student Conduct. The Administrative Assistant will support Career Services in many daily functions and will physically work in their department space. With a dual reporting structure, this position will support a wide variety of critical clerical, secretarial and office management functions to both individuals and their respective departments.

Position Responsibilities:

Support to Director of Career Services & Associate Dean of Student Development

  • Act as a liaison between Director/AD and campus and community partners regarding departmental activities (general operations, programs, etc.).
  • Coordinate and schedule meetings as well as support communication and outreach with other departments, community partners, and employer partners.
  • Coordinate and schedule Student Conduct meetings/hearings with Associate Dean as main conduct officer on-campus.
  • Coordinate and schedule classroom presentations for Career Services and Student Life with First Year Experience (FYE) instructors.
  • Collect data on departmental utilization and various student engagement/development metrics and support data analysis as requested.

Office Management & Administration

  • Manage and maintain front office operations including providing excellent customer services and answering phones/emails; Ensure full coverage of front office for Career Services. Serve as secondary operator for the Student Life front desk (Nevada State College main line).
  • Order department goods and services.
  • Maintain department calendars and coordinate department meeting agendas.
  • Provide event support such as space reservation, set-up/breakdown, participant check-in and more as required for over 100 annual events (20+ for Career Services, 80+ for Student Life).
  • Create (as needed), update and maintain office materials such as forms, handouts/worksheets, website pages and social media accounts.
  • Work with the Director(s) to create timely and accurate monthly newsletters.
  • Support student worker program management (i.e. tracking hours).

Student Engagement Platform Management

  • Serve as key administrator and daily manager for Handshake (campus recruiting software utilized by Career Services) including updating and maintain employer and student databases, ensuring contacts are current, approving new employer connection requests, and reviewing student account approvals.
  • Serve as a backup support for Presence aka Scorpion Central (student engagement platform utilized by Student Life) per Student Life coordinator directive.

HR & Financial Support

  • Support budget monitoring to help track expenses, process purchase orders, reconcile purchases and serve as point of contact to vendors as necessary.
  • Support departments in posting of open full-time and student worker positions and support onboarding processes as requested.

Additional Duties as Assigned

  • Occasional evening or weekend hours may be required to support departmental functions.

Minimum Qualifications:

  • Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience as described above.
  • Eligibility to work in the United States without sponsorship (NSC does not sponsor employment-related visas).

Preferred Qualifications:

  • Associate Degree preferred.
  • Prior experience working in higher education. Experience working with diverse students and special student populations.
  • Experience with Workday, Qualtrics, PeopleSoft and internet search tools.
  • Applicant must have the ability to multi-task and work in a dynamic and fast-paced environment.

Salary & Benefits

Budgeted salary for this position is $37,166.40. Nevada State College offers excellent benefits, including an excellent retirement plan, generous vacation & sick benefits, 11 paid holidays, educational benefits, and a choice between three health insurance plans that can be supplemented with flexible spending accounts or health savings accounts. No relocation assistance is provided for this position.

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm.
