About this role

Responsible for the configuration of financial aid processes, calculations, reports, and condition rules within the system. Evaluates regulatory changes and recommends product releases and custom enhancements to maintain compliance and efficiency. Manages financial aid system testing, including scenario development and user testing, to ensure deliverables.

What a day of a Financial Aid Systems Administrator looks like:

  • Executes system changes including updates, integrations, and new configurations.

  • Creates testing scenarios for new and updated system releases. Reviews product release notes, assesses new features and updates, and understands the impact on functional area touchpoints.

  • Provides production support, including researching and resolving financial aid system problems, unexpected results, and process flaws. Recommends solutions or alternate methods.

  • Constructs financial aid system customizations. Maintains documentation of system operations, workflows, and integrations.

  • Manages projects and process improvement, including applying change management experience to facilitate movement to new levels of quality. Identifies system enhancement opportunities and collaborates with the system vendor and other departments for the development of improvements.

  • Develops and facilitates end-user training and support to enable effective student awards.

  • Builds standardized reports for use by various internal stakeholders. Helps maintain data integrity in systems by running queries and analyzing data.

  • Creates, implements, and maintains procedures to comply with changes to financial aid regulations. Develops new processes and procedures to promote the efficiency of financial aid operations.

  • Performs other job-related duties as assigned.

We'd love to hear from you if you have the following:

Education and Experience:

  • Bachelor’s degree

  • Four years of experience

Knowledge of:

  • Federal online financial aid applications and the National Student Loan Data System

  • Financial data management and reporting systems

  • Financial Aid rules and regulations

  • ERP system configurations

  • Microsoft Office Professional or similar application

Skilled in:                

  • Performing with a high degree of accuracy

  • Creative thinking and problem solving to explore new technology, processes, and approaches

Ability to:

  • Effectively communicate verbally and in writing on a regular basis with internal and external partners, build relationships, manage stakeholder expectations, and take responsibility for a high level of service

  • Interact in a positive manner with diverse populations and varying education levels of students, faculty, staff, and the public

  • Identify, analyze, and resolve problems, driving solutions through to completion

  • Successfully manage deadlines for projects and multiple competing tasks and priorities

  • Express and present complex concepts and information in a manner easily understood by others

Licenses, Registration, Certifications, or Special Requirements:

  • Regular physical attendance required

  • Must not be debarred from Title IV Programs, and not in default on Title IV student loans

  • Must complete FERPA training within 30 days of employment

  • Some periods throughout the year will require extended work hours including nights, weekends, and college closures

Preferred, but not required:

Education and Experience:

  • Experience in Workday

Licenses, Registration, Certifications, or Special Requirements:

  • National Association of Student Financial Aid Administrators (NASFAA) certification

  • Completion of the following Workday training modules:

  • Calculation Engine for Workday Student

  • Financial Aid Packaging

  • Student Financial Aid Fundamentals

Work Environment and Physical Demand:

  • Reach and grasp objects

  • Use of video display terminal

  • Use of manual dexterity and fine motor skills

  • Communicate information orally and in writing

  • Receive and understand information through oral and written communication

  • Proofread and check documents for accuracy

The minimum base pay for this position starts at $60,613.00 annually; however, the offer may vary based on the candidate’s education and experience.
