JOB DESCRIPTION AND POSITION REQUIREMENTS:
The HUB-Robeson Center finance and budget office is seeking a motivated and experienced Financial Staff Assistant 3 to join the HUB-Robeson Center team.
Responsibilities will include, but are not limited to the following:
Manage the contract process by using SharePoint, Adobe, and SIMBA (Penn State’s System for Integrated Management, Budgeting, and Accounting). Ensure contracts are completed correctly and in accordance with university policies and guidelines.
Prepare NON-POs in SIMBA for all contracts.
Process, prepare, and review weekly billing invoices using 25LIVE, FreshBooks, the HUB-Robeson Center invoicing system, and SIMBA for HUB-Robeson Center and Schwab Auditorium reservations.
Track all SIMBA financial entries to ensure they are processed through all appropriate approval paths before month-end.
Monitor and reconcile purchasing card transactions in SAP concur, the university purchasing card software program.
Successful candidates should demonstrate outstanding interpersonal, organizational and communication abilities, the ability to multi-task, demonstrate a high level of attention to detail, and accurate record management. Ability to work independently yet function within a team-driven organization is a must. In addition, this position must be able provide exceptional customer service to a diverse group of customers.
Knowledge of Workday/Worklion, SIMBA (System for Integrated Management Budgeting and Account) and SAP Concur (reimbursement system) highly desirable but not required, working knowledge of SharePoint, Adobe and Microsoft Excel is desired.
This position typically requires a high school diploma or higher plus 3 years of related experience or an equivalent combination of education and experience.
Due to the financial and fiduciary responsibilities of this position, successful completion of a credit history check will be required in addition to standard background checks.
