POSITION SPECIFICS

The Payroll Department, part of Penn State’s Finance and Business organization, is seeking a Payroll Associate to support payroll operations across the University. This position plays a critical role in ensuring accurate and compliant payroll processing for faculty, staff, and student employees. As a key member of the payroll team, the Payroll Associate will collaborate across multiple departments and maintain a strong focus on customer service, attention to detail, and continuous improvement. This role reports to the Payroll Supervisor and supports Penn State’s commitment to integrity, respect, and inclusive excellence.

This position offers a flexible hybrid work schedule, with a requirement to be on campus at least two days per week at University Park.

Key Responsibilities

  • Process and validate payroll transactions in Workday for all employee groups, including student workers
  • Ensure compliance with federal, state, and local payroll laws and university policies
  • Investigate and resolve payroll discrepancies or employee inquiries related to compensation, taxes, or deductions
  • Assist in the distribution of W-2/W-2c forms and other year-end documentation
  • Support coordination with HR, Finance, and departmental partners on payroll-related matters
  • Document payroll procedures and recommend process improvements
  • Provide high-quality customer service via phone, email, and in-person communication

Who we are looking for

  • Demonstrated knowledge of payroll practices, payroll tax regulations, and gross-to-net calculations
  • Strong attention to detail, organization, and communication skills
  • Ability to manage confidential information with discretion
  • Experience using Workday Payroll or similar HCM/ERP systems preferred

This position is filled at the Intermediate Support level.

 

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

General Equivalency Diploma (GED) or High School (HS)
2+ years of relevant experience; or an equivalent combination of education and experience accepted

BACKGROUND CHECKS/CLEARANCES

Employment with the University will require successful completion of background check(s) in accordance with University policies. Due to the financial and fiduciary responsibilities of this position, successful completion of a credit history check will be required in addition to standard background checks.

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $42,100.00 – $61,000.00.
