Position Summary

Assists in the implementation and administration of benefit programs in Canada and US.  Consult with and advise employees on eligibility for insurance, health care, and other benefits.  Ensures benefit programs are in compliance with policies, procedures and regulatory requirements. Liaise with vendors and consultants to ensure programs are delivered as designed.  

Key Responsibilities

  • Actively engage with benefit plan vendors, third party administrators, HR Business Partners and employees to ensure appropriate communication, administration and resolution of employee benefit matters.
  • Manage the team central email box and assign emails to team members for timely responses.
  • Coordinates new hire and termination paperwork, ensuring employee records are correct and employee changes are updated in system in a timely manner.  Liaise with participants, providing employee support.
  • Oversee the leave of absences including coordination with employees for benefit contributions.
  • Support open enrollment process for Canadian and US employees and retirees, including any coordinating benefit fairs and information sessions. 
  • Manage the death administration for both active and non-active population.
  • Update and maintain benefit communication materials (ie. Benefit enrolment guides, plan guides, Workday guides, administration procedures).
  • Participate in benefit plan meetings, system implementations, trainings, benefit fairs, open enrolment meetings.
  • Prepare and report of all benefit plan regulatory filings and disclosure notices (ie. Non-discrimination testing and valuation files.), plan audits, testing and other compliance related activities.
  • Provide back-up support for pension & benefit team.
  • Create and maintain in-house procedure and administrative manuals.
  • Participate on special projects as required.

Required Skills & Abilities

  • Advanced technical proficiency in all Microsoft Office applications
  • Experience with Workday and reporting an asset
  • Excellent organizational, communication and interpersonal skills
  • Good understanding of Canadian benefit processes and designs & Canadian Pension plan provisions
  • Good understanding of US benefit processes and designs and US Pension plan and 401K provisions


  • Education Preferred:  Business Diploma (Human Resources)
  • Education Required:  Business Degree (Human Resources)
  • Experience Required:  3-5 years’ experience with benefit & pension administration in Canada.  Experience with US benefits and pensions is a plus
