Job Description

The Assistant Registrar, Academic Records reporting to the Associate Registrar, will be a key resource for the Office of the Registrar team and provide outstanding customer service to students and other campus constituents.  The ideal candidate must have a service-oriented attitude and demonstrate a commitment to continuous service improvement and student success.  The incumbent will be an effective and diplomatic communicator who exercises appropriate judgement for service delivery whether independently or as part of a team.  They will collaborate with academic and administrative units regarding student record services.  

Principle Duties and Responsibilities
•    Manages and maintains student academic records using appropriate software
•    Resolves system issues pertaining to student records, registration and program completion
•    Supervises the program completion process from application to conferral
•    Provides comprehensive reporting for graduation candidates to key stakeholders including the Board of Trustees and faculty
•    Manages student eligibility for graduation and associated communication with students and academic officials across various platforms
•    Implements policy, procedure and curriculum changes including Workday system updates as appropriate working in close collaboration with the team
•    Supervises data storage according to the record retention policy for program completion
•    Manages and coordinate the diploma process including vendor and campus communication
•    Processes batch data transfers; analyzes and resolves associated errors
•    Liaison to academic officials concerning University policy/procedures and compliance issues
•    Resolves and troubleshoots enrollment and record-related business processes and requests
•    Manages the documentation and training materials for program completion and other processes
•    Develops and provides training and support to faculty, staff and students on program completion and other student services using various platforms
•    Maintains webpages; generates and proofreads correspondence; prepares and distributes communications; maintains appropriate files and records in close collaboration with the team
•    Updates student transfer credit for incoming and continuing students
•    Processes National Student Clearinghouse verifications and record updates 
•    Assists with implementation of new functions/processes in the Registrar’s Office 
•    Assists with enrollment of special populations e.g. Pre-College, STEP, CUFE, Dual Enrollment, etc.
•     Supports front-line staff and student workers in collaboration with the management team
•    Other duties as assigned

Qualifications
•    Bachelor’s degree required
•    Minimum of five years of higher education experience, preferably in the Registrar’s Office
•    Some supervisory experience required
•    Expertise in Microsoft Office (Outlook, Excel, Word, and PowerPoint) and other document management tools including Google Drive, OneDrive and other solutions
•    Workday experience preferred; experience with a student information system required
•    Strong computer proficiency and the ability to quickly learn and assimilate new systems and information
•    Must be able to work in a fast-paced environment with demonstrated ability to handle multiple competing tasks and demands; respond with appropriate urgency to situations that arise and solve difficult problems proactively, efficiently and with diplomacy
•    Proven ability to work independently and as part of a team. Ability to accept direction on assignments and work with minimum supervision, building support from colleagues where applicable
•    Maintain utmost confidentiality and discretion in all things, handling confidential and non-routine information with tact
•    Strong customer service orientation
•    Excellent written and verbal communication skills, with the ability to communicate well with both internal and external constituents at all levels
•    Excellent attention to detail and exceptional follow-up and follow-through skills
•    Familiar with record retention policies; data privacy policies and procedures (FERPA) and other generally accepted AACRAO guidelines, federal, state and regulatory requirements; academic policies and procedures
