Job Description

This positions is only available to currently enrolled Stevens graduate students.

Essential Responsibilities:

  • Adhere to and enforce all policies and procedures of the department and institution as well as the rules and regulations of the Middle Atlantic Conference (MAC) and MAC Freedom, the NCAA, and other authorities that may legitimately influence the intercollegiate athletics program.
  • Greet all that enter the Schaefer Center from the lobby entrance desk.
    • Acknowledge all students, staff and faculty and ensure they swipe their Stevens ID.
      • All students, staff, and faculty must have their Stevens ID and swipe to enter.
      • Those without their Stevens ID are not permitted to enter.
      • The person’s reservation through DSE software must be verified to include time frame and location.
  • Greet visitors and determine their purpose for entering the facility
    • Pool patrons not associated with Stevens must show identification or pool pass/membership.
    • Weehawken residents are only permitted in the facility from 8:00am – 12:00pm and 8:30pm – 10:30pm Monday through Friday and Saturday 9:00am – 1:00pm or as otherwise specified.
    • Visitors for coaches or administrative staff must be announced via phone call. Visitor can only proceed if coach or staff acknowledge.
  • Oversee the processing of all Weehawken citizen memberships and the Hoboken resident summer tennis program.
    • Ensure all paperwork is in order.
    • Direct patrons to receive an institution assigned photo ID.
  • Process missed class time letters for student-athletes and send to faculty in a prompt and efficient manner.
  • Responsible for learning all necessary aspects of Kuali Financial Services, Concur, and Workday software systems.
  • Handle clerical duties for administrative and coaching staff as needed.
  • Receive all packages from shipping/receiving
    • Verify the count matches documentation.
    • Contact department staff when they have a package.
    • Contact the evening supervisor if packages are not picked up by 6pm.
    • Packages can never be left on the desk after 6pm.
  • Other responsibilities as assigned by the Director of Campus Recreation or Events Manager.

Qualifications:

Education

  • Bachelor’s degree required; master’s degree preferred.

Experience

  • Minimum of 2 years’ professional work experience, preferably in an administrative assistant capacity, or an equivalent combination of education and experience is preferred. Proficiency with intermediate-level spreadsheet, database, and word processing applications is strongly preferred.

Specific Skills:

  • Communicate effectively and professionally, including written, interpersonal, and public speaking.
  • Must be willing to work early morning, evening, weekends, and holidays.
