Job Description

Requirements:

  • Bachelor’s Degree, (Preferred Business and/or Interior Design)
  • Minimum 3 years’ experience
  • Must be proficient in Microsoft Office 365 and knowledge of Workday and Archibus
  • Strong analytical, organizations and presentation skills
  • Excellent written and verbal skills

Database Management Responsibilities include:

  • Work directly with divisions to collect and review their space needs and updates within their department, regarding space and moves.
  • Review space and data collection by conducting data audits on a monthly basis
  • Perform data input into the Archibus system to maintain accurate occupancy information
  • Develop and deliver project specific reporting from the Archibus system to client
  • Be informed of project activities and seek Space Captain cooperation and approval for implementation of any changes to their divisions relating to moves, space and/or furniture requests
  • Identify and resolve critical client issues, or inform the Director of Planning & Design when intervention is needed
  • Understand organizational hierarchy and adjacencies needed within the Archibus system
  • Manage the Space, Move, Drawing and/or Occupancy requests that come through the Archibus system and review and assign to the planning and design team
  • Examine and establish solutions to accurately capture the correct data through Archibus;
  • Able to communicate the moves requirements and the Archibus system
  • Complete Archibus training as needed with reference to upgrades within the system

Move Management Responsibilities include:

  • Provide a single point of contact for all project moves and activities
  • Facilitate and document move meetings with internal staff and key stakeholders to ensure responsibilities are communicated and understood by all concerned
  • Work with stakeholders to identify the move plans
  • Space Database/Move Coordinator will identify the needs for the move plan
  •  Space Database/Move Coordinator will need to develop and implement move plan and budget through collaboration with the planning team and stakeholders
  • Evaluate completed projects post-occupancy to assess success of materials and furniture specifications
  • Provide move signage. General move directions and manage the move coordinator, who will be onsite for moves
  • Work with move coordinator to resolve any post-move issues
  • Coordinate schedule budget and scope as necessary with various service providers
  • Assist with planning, space information management and analysis of space utilization in context of overall strategic planning
  • Coordinate CAD files and other planning or project documents with consultants and Project Managers to update the SIT space inventory for drawing requests
  • Aid Facilities and Campus Operations in plans, studies, analyses and reports on space utilization, productivity, industry standards and best practices to support the development of space planning standards and policies at SIT
  • Collect and coordinate data from departments required for space planning
  • Provide the administration, departments and their consultants with updated floor plans and space planning-related data
  • Work with Planning & Design team when drawings and graphic displays are needed for the project’s schematic development, including test-fits and layouts
  • Work with consultants and Project Managers as necessary to provide clear project plans and space information relevant to project scope
  • Schedule meetings with clients to review the scope, schedule, and budget necessary for all moves
  • Work on signage update coordination with outside vendor when updates need to occur in specific buildings
  • This includes submitting proposals for purchase orders as well as submitting invoices

  • Ability to communicate and effectively interact with SIT personnel, outside contractors and consultants
  • Strong organizational skills and ability to work on multiple project
  • Keen attention to detail and accuracy
  • Knowledge of a CAFM System preferably Archibus
  • Ability to work in a fast-faced environment
