The Center of Excellence & Innovation (COEI) Support Regional Benefits Operations Senior Manager will report to the Global COEI Support leader.

The incumbent will work in a team that fosters a positive work environment and a strong culture of delivering an exceptional people experience and that will ensure program effectiveness and optimal service delivery in support of the Takeda Business Solutions model.  This role projects confidence, professionalism and genuine concern for escalations or issues brought forward by team members and/or stakeholders.

The key objectives / purpose of the role 

  • Lead a team of 6 Benefit and LOA specialists/analysts on driving meaningful engagement for 22,000 US employees and families through the delivery of world-class benefit programs.
  • Manage US Benefits Operations end-to-end, including Retirement and Leave of Absence programs.
  • Manage critical and complex retirement program funding of $12 million weekly for our 401(k) plan and $130 million annually for our Supplemental retirement plan
  • Partner with the Total Rewards Center of Excellence and Innovation (COEi) to ensure administration is in alignment of company policies, plan documentation and applicable regulations.
  • Continually identify and improve upon our benefit programs utlizing data, enhancing our technology, process improvements, content management and vendor delivery improvements.
  • Focus on the delivery of an exceptional people experience where our employees feel supported and confident in our solutions.

ACCOUNTABILITIES

  • Lead a team of 6 Benefit and LOA specialists/analysts on driving meaningful engagement for 22,000 US employees and families through the delivery of world-class benefit programs.
  • Manage US Benefits Operations end-to-end, including Retirement and Leave of Absence programs.
  • Manage critical and complex retirement program funding of $12m weekly for our 401(k) plan and $130m annually for our SERP plan
  • Partner with the Total Rewards Center of Excellence and Innovation (COEi) to ensure administration is in alignment of company policies, plan documentation and applicable regulations.
  • Continually identify and improve upon our benefit programs utilizing data, enhancing our technology, process improvements, content management and vendor delivery improvements.
  • Focus on the delivery of an exceptional people experience where our employees feel supported and confident in our solutions.
  • Partner with our Center of Excellence and Innovation (COEI) partners to understand upcoming policy and program changes, ensure portal content is up-to-date, and share metrics and opportunities for improvements with our vendor relationships.
  • Partner with PAG and provide ongoing reporting to ensure the ADA interactive process and employment terms are in compliance.
  • Partner with HCM and HRIT to establish and enhance our data and interface files with our vendors.
  • Partner with Payroll to ensure deductions and pay are uninterrupted for new hires, terminations, transfers and employees out on Leaves.
  • Work closely with our Payroll team to ensure efficient and employee friendly processes resulting in accurate benefit deductions and that employee accounts get properly funded (401K, HSA, FSA).
  • Ensure thorough formal documentation (SOPs) for any business process and accurate records are maintained and optimal employee support is provided.
  • Conduct audits of data to ensure processes and policies are being managed effectively and data quality is maintained/improved amongst internal and external systems.
  • Lead compliance audits, required filings, and all other compliance related initiatives as required.
  • Manage annual enrollments (H&W, 401K, Non-Qualified Deferred Compensation Plan, Supplemental Executive Retirement Plan) and partnering with broader team as needed.
  • Maintain data in vendor and HR systems to ensure correct eligibility and participate in   System testing to validate the accuracy and flow of content.
  • Respond to any inquiry escalations in a prompt manner and partner with vendors to      resolve any issues as well as analytic insights on employee inquiries.
  • Partner with the People Resource Hub (PRH) on a regular basis to understand call center metrics and develop action plans for process improvements and provide ongoing training.
  • Participate in periodic vendor stewardship meetings providing metrics and input for    process improvement.

EDUCATION, BEHAVIOURAL COMPETENCIES AND SKILLS: (List the essential and desirable education and competency requirements to perform the primary responsibilities of the job.  Any minimum requirements should be noted.)

  • High school diploma -is required.
  • College degree plus 8-10 plus years of experience in US Benefits (including Retirement and LOA).
  • Large corporate experience in a matrixed environment.
  • Strong people management experience training, coaching and developing others.
  • Ability to partner cross functionally within the organization and externally with vendor partners effectively.
  • Strong written and oral communications skills.
  • Excellent organizational and time management skills.
  • Multi-tasking capability is a requirement.
  • An analytical and process improvement mindset.
  • Customer focused – providing exceptional services to our employees and partners.
  • Strong MS Office proficiency, especially in Excel (Data manipulation, Pivot tables and V-Look-Up); MS Teams, MS Word and MS PowerPoint is necessary.
  • Experience with Workday or Oracle Cloud HR technology
  • Experience with ADP Payroll or like payroll solution.
  • Experience with ServiceNow or like case management experience.
  • Benefit vendor experience with Fidelity, Alight, Aetna and others.
