Associate Controller

Job Description:

The Associate Controller leads a team providing a spectrum of financial accounting services to one or two members of the Claremont Colleges. The Associate Controller ensures that high quality customer service is provided in a professional manner.

Essential Functions:

  • Oversees and maintains  general ledger(s) in accordance with GAAP and higher education industry practices;

  • Oversees post award grant compliance;

  • Oversees investment accounting, unitization, and unit market value;

  • Oversees deferred giving accounting;

  • Prepares, reviews and analyzes external financial reports;

  • Implements and monitors systems that ensure accurate, timely and responsive financial recording and reporting.

  • Coordinates annual external audit and prepares audit schedules;

  • Coordinates preparation and complies information for internal revenue service information and tax returns and other regulatory filings;

  • Builds and maintains positive working relationships with internal and external constituents;

  • Maintains and evaluates internal controls and key processes by developing/collaborating with internal constituents to implement best practices and streamlined processes;

  • Takes leadership in disseminating information and provides advice and counsel to constituencies.

Supervision Responsibilities

  • Recruits, selects and retains staff that has professional capabilities and has the capacity to work effectively in an environment with changing requirements.

  • Provides ongoing coaching to subordinates which is balanced, constructive, timely and contributes to an atmosphere of open communication and trust.

  • Conducts annual written performance appraisals for all staff. Conducts a 90-day introductory period review for all new employees.

  • Communicates job requirements to subordinates and assures that subordinates have the appropriate training and development to complete tasks. Ensures that job descriptions in area are current and recommends changes as needed.

  • Develops and maintains a collaborative team dedicated to serving the changing needs of the customer and the Financial Services Office.

  • Addresses employee work habit and performance problems in a timely manner with appropriate follow up.


  • Provides timely data that reflects the needs of each constituent.

  • Monitors all financial transactions and reports processed in areas of responsibility to ensure compliance with institutional guidelines, generally accepted accounting principles and federal and state regulations.

  • Maintains an understanding of constituent’s business issues, practices and policies through regular communication with appropriate personnel.

  • Provides advice and counsel to constituents regarding reports to ensure that relevant information is available, understood, necessary, and useful.

  • Maintains capacity of team and ensures availability of personnel to perform the work by through allocation of responsibilities and/or cross training.

  • Establishes and/or maintains internal control procedures which ensure appropriate checks and balances to fulfill legal and ethical responsibilities.

  • Conducts training for constituents to increase appropriate use of services.

  • Establishes and maintains effective monitoring processes that reflect the quality of the service provided.

  • Assesses potential for improvement of systems and processes, recommends and implements changes where appropriate. Demonstrates a forward thinking perspective and embraces process improvement.

  • Maintains sub-ledger accounting systems in areas of responsibility (where appropriate)

Required Education:

  • Bachelor’s degree in accounting or related field.

Required Work Experience:

  • Four years of auditing, or

  • Four years of not for profit/higher education, or

  • Four years of experience at an equivalent level in a field other than not for profit/higher education.

Preferred Qualifications: The following qualifications are preferred:

  • Certified Public Accountant

  • Proficiency in various accounting software systems and other information technology and the ability to learn new software

  • Experience and knowledge of Workday

Required Knowledge and Critical Skills: This position must possess the knowledge, skills and abilities to be able to successfully perform the essential functions of the job or must be able to demonstrate how the essential functions will be performed (with or without reasonable accommodation) using other knowledge, skills and abilities not listed below:

  • Ability to communicate clearly in writing and orally, strong customer service orientation and ability to work well with diverse internal and external constituents in a team-oriented environment

  • Ability to share knowledge and information and to learn new tasks

  • Proficiency in Microsoft Office products, with demonstrated strong skills in Excel

  • Demonstrated organizational, time management, and multitasking skills

  • Ability to meet deadlines in a busy environment

  • Possession and maintenance of a valid California Driver License and a DMV record that meets the requirement set by the institution’s insurance carrier

  • Thorough knowledge of GAAP

Required Work Hours: The regular hours for this full-time position are 8:00 a.m. to 5:00 p.m., Monday through Friday. May be required to work holiday, weekend, and/or evening hours. Regular hours may vary due to needs of the organization or business unit. The position will allow for remote work but will require occasional onsite responsibility and will need to be able to come to The Claremont Colleges as needed.
