UTA is seeking an Assistant to support the Human Resources and Recruiting teams. This role will be based out of the Nashville office but also support our other office locations. The ideal Assistant will provide administrative support and coordinate a broad spectrum of tasks including schedule meetings and interviews, handle employee and candidate request and other special projects. This dynamic position requires the ability to anticipate needs, think critically, and multi-task with a level of professionalism, confidentiality, and urgency.

Qualified candidates must have precise, detailed-oriented organizational skills, the ability to manage multiple projects in a high-volume environment, as well as excellent communication and writing abilities. In addition, the ideal candidate should have prior experience in an office environment and be service minded always ensuring a positive candidate and employee experience.

What you Will Do
 

Human Resources

  • Scheduling, coordinating, and managing logistics for interviews and meetings, including, but not limited to; booking of conference room, communication, assembling data/materials and confirming attendees

  • Assisting with high volume phones, calendaring, filing, as well as travel and expense management

  • Update and manage employee activity in Workday for assigned business units

  • Provide assistance with the management of employee events for the Nashville Office

  • Liaising with internal staff at all levels including external clients and partners

  • Partnering with HR department assistants to provide department and company-wide five-star customer service; and

  • Supporting various members of the HR team on special projects as needed

Recruitment

  • Heavy interview scheduling and calendar coordination

  • Assisting with the coordination of corporate candidates through the pre-employee process and their various interview stages utilizing Workday

  • Communicating professionally, tactfully and with the utmost diplomacy while treating all candidates with dignity and respect

  • Manage job requisitions in Workday; post, edit and update job descriptions as needed

  • Identifying opportunities for improving the candidate experience and interview process efficiency

  • Updating and managing the internal employee tracking system and other recruitment applications (ie. LinkedIn)

What you Will Need

  • Bachelor’s degree strongly preferred

  • Minimum 1+ years of experience as an administrative assistant, preferably within an HR department

  • Prior exposure to recruiting, sourcing or working within a Talent Acquisition function, a plus

  • Demonstrated passion for human resources and recruiting with a comprehensive understanding of purpose and goals

  • Ability to handle sensitive information with a high level of confidentiality and discretion

  • Proven ability to manage tasks with competing priorities and deadlines, independently determining order of priority and self-initiating other value-added tasks

  • Must have a strong working knowledge of Microsoft Office applications including Excel, Word, PowerPoint, and Outlook

  • Advanced knowledge of Workday and Asana preferred

  • General business knowledge and interest in media, sports and entertainment
