Job Description Summary:

The Assistant Director of Finance is a dedicated team player who works closely with a wide range of stakeholders. This motivated self-starter will assist the Director of School Finance, Department chairs, and other administrators to maintain the School budget and financial operations ensuring accuracy and efficiency. This role will also provide timely queries, reports, and data analysis to support school goals and objectives.

  • Oversee monthly forecast updates entered by Administrators in Adaptive. Request revisions as needed.
  • Routine communication with school and department leadership to maintain budget accuracy and ensure that execution is following plan. Aid and advise departments with questions related to financial processes/procedures, financial analysis, and budget planning.
  • Work closely with Director of School Finance, department chairs and administrators, and external constituents to plan and execute the annual budget process.
  • Assists the Director of School Finance with developing & implementing internal operating procedures and maintaining awareness of changes to University policies. Communicates these changes to departments.
  • Manage relationships with external units that support the school.
  • Monitor fiscal performance of departments and evaluate compliance with school/university policies. Identify and resolve areas of concern with department chairs, administrators, and Director of School Finance. Manage rectification of errors.
  • Create & fine-tune reports to provide departments with accurate data. Perform analyses, detail reviews, and assist with forecasts.
  • Assist Director of School Finance with required reporting to leadership, institutional finance, and other university or external constituents. Provide advice and support on financial management while keeping the strictest confidentiality
  • Advise and support departments on questions related to financial procedures, financial analysis, and budget planning.
  • Collaborate with Director of School Finance to assess needs and develop a framework for delivering consistent reporting and implement improved budget procedures.
  • Provides indirect supervision to administrators for all School departments in the completion of financial tasks. Address any performance related concerns with the Director of School Finance and department chairs.
  • Respond to inquiries from School staff regarding financial processes.
  • Responsible for onboarding new Department administrators relating to School’s financial software and reporting requirements.
  • Responsible for providing technical assistance to departments relating to the various systems used by the university for financial processes. Identify, troubleshoot, and resolve issues related these systems and the data stored within them. Assist departments with access and effective use of these systems.
  • Work with Director of School Finance and other leadership to design and execute long-range financial planning and strategic goals that align with the institution.
  • Serves in primary Workday financial roles for SHP. Assists with processing school costing allocations, payroll accounting adjustments.
  • Backup Cost Center Manager in Workday when delegated.
  • Regularly review budget to actuals, expenditures, and projections to evaluate compliance with school policies and procedures. Identify discrepancies or areas of concern and work with department chairs and administrators to address these. Supervise action taken as a result of discrepancies.
  • Responds to ad-hoc or special requests for data. Supports the Dean’s Office and the Director of School Finance with special projects, research, and other requests as needed.
  • Provides advice and support in interpreting data and using it for planning, forecasting, or process improvement.
  • Collaborates with colleagues to improve quality of data and efficiency.
  • Serve as primary backup to the Director of School Finance for activities listed above. Act as a representative for the School Finance office as needed.

Required Qualifications

Education: Bachelor’s Degree
Work Experience:

  • Three years of relevant experience.
  • Experience with Microsoft Excel formula and formatting.
  • Experience with Microsoft Suite.
  • Experience with ERP & Financial systems.
  • Experience in financial reconciliation.

Preferred Qualifications

Education: Master’s degree from an accredited college or university.
Work Experience:

  • Experience in higher education.
  • Experience in Workday Financial.
  • Experience in Adaptive Budget Tool.
  • Experience in KUEA One Solution System.

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
