The University of Nevada, Reno is recruiting for an Administrative Assistant 4 for the Core Curriculum Office. ** This position does not provide layoff rights and is contingent upon funding. This position manages all aspects of the Core Curriculum Office, providing administrative support for the Core Curriculum Director and the Specialist, University Courses and Curricula.
Duties include (but are not limited to):
Coordinate Student Communications for the Core: Receive and promptly record and process all Core Curriculum substitution requests. Manage Core substitution and transfer course database. Communicate in a friendly and professional manner with students and advisors relating to individual requests, directing students appropriately according to general education requirements. Utilize Navigate to gain context for student requests as needed.
Manage Core Assessment and Course Reverification Process: Manage data and reports in the chosen means of storage, maintain a list of academic units in non-compliance, share reporting information with various committees in a timely fashion, compile and disseminate end-of-term or end-of-year reports as necessary. Launch reverification proposals in Curriculog. Assist faculty with access to online data; general troubleshooting.
Support Provost’s Office Professional Staff in Cain Hall Suite: Provide professional, accurate, and timely support including scheduling of appointments and meetings, travel arrangements, Workday transactions, and preparing and distributing correspondence. General duties to support the office suite including: process billing for Shred-It, coordinate servicing and inventory for copier, maintain schedule for conference room, arrange for appropriate and up-to-date signage, and receive and distribute mail and deliveries. Perform other duties as assigned, with appropriate prioritization.
Provide Curriculum and Catalog Support: Common Course Numbering Processing: prepare paperwork and send pre-authorization requests and campus notifications for new and changed course proposals submitted in Curriculog; maintain tracking system for processing and final submission of CCN files to NSHE; refer complications, objections, or requests for additional information to the Curriculum Specialist. Forward incoming CCN notifications from other campuses to the appropriate department chair for response.
UCCC support: maintain committee list, schedule meetings, and generate minutes.
Assist catalog editor by coordinating annual revisions to non-academic catalog copy for units falling under the Provost’s Office and others as requested.
This position requires graduation from high school or equivalent education and four (4) years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR one year of experience as an Administrative Assistant III in Nevada State service; OR an equivalent combination of education and experience as described above.
A valid Class “C” driver’s license or higher operator’s license is required at the time of appointment and as a condition of continuing employment.
The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.
Grade 29 (Entry, Step 01 $19.13/hr. – Step 04 $21.62/hr.)
In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate’s qualifications, internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.
