The University of Nevada, Reno is recruiting for an Administrative Assistant 4 for the Office of the Vice Provost, Information Technology/Chief Information Officer. This position will be an active member of the administration team for the Office of Information Technology (OIT) and will provide administrative assistance to the Vice Provost of Information Technology. The duties of the Administrative Assistant 4 are as follows:
Assistant to Vice Provost of Information Technology (VPIT)
Resolve administrative questions and issues; act as a liaison between faculty,
staff, students, and the public
Read, screen, and process incoming correspondence, mail, phone calls, and reports.
Provide accurate and up to date information to the VPIT and all individuals the incumbent encounters.
Maintain and prioritize the Vice Provost’s calendar.
Coordinate and schedule meetings, prepare communications and reports, create and distribute agendas, minutes and appropriate documentation.
Purchase items in support of business processes or as directed
Assist with travel/conference accommodations and logistics including initiating spend authorizations and expense reports and coordinating air, hotel and registration.
Gather additional information, provide data, and communicate issues to the Vice Provost as needed
Exercise discretion and judgment with highly sensitive and confidential information
Inventory Control and Project Management support
Assist the members of OIT with maintaining and accurate inventory in Asset Works and internal spreadsheets for tracking department assets.
Coordinate departmental communication on initiatives; create and send communications for OIT.
Coordinate incoming requests for information or data per the direction of the VPIT.
Assist with routine administrative tasks for the OIT Administration office.
Respond to inquiries that come through the office.
Search Coordination for OIT faculty including scheduling meetings, interview, and travel while working closely with the search chair.
Providing event support including coordinating all logistical needs, ensuring policy compliance, and processing invoices and purchasing card transactions associate with events.
Student Employee Supervision.
Other duties as assigned.
This position requires graduation from high school or equivalent education and four (4) years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR one (1) year of experience as an Administrative Assistant III in Nevada State service; OR an equivalent combination of education and experience as described above.

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.
Grade 29 (Entry, Step 01 $19.32/hr. – Step 04 $21.84/hr.)
In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate’s qualifications, internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.
