Job Description Summary

The position provides varied and complex administrative and financial support to the faculty, students, Business Administrator, and other staff in the Wharton Department of Statistics and Data Science.

Job Description

Job Responsibilities

  • Financial reporting and reconciliation in support of the Business Administrator. Researching financial issues and expenditures and journaling transactions in preparation for the fiscal year close. This requires utilizing various Penn financial systems such as Business Objects (Webi), BEN Invoice Inquiry, and BEN Journal Entry.

  • Purchasing supplies and services from internal and external vendors. This includes maintaining a Penn Purchasing Card (ProCard) and using the BEN PO Manager and BEN Marketplace systems.

  • Faculty affairs support by coordinating faculty recruitment as well as faculty promotion & appointment cases using Interfolio.

  • Processing visa and permanent residency petitions for International faculty, PhD students, and postdoctoral researchers, while coordinating with Penn International Student and Scholar Services (ISSS) to ensure department compliance with University guidelines.

  • Coordinating special events, academic workshops, and departmental & faculty initiatives.

  • Reviewing and approving expense reports in SAP Concur in compliance with University policies.

  • Developing faculty website content through WordPress to communicate their research and teaching accomplishments.

  • Coordinating logistical planning and execution for the department's new Bridge Master's Program.

  • Submitting requests to the Workday Solution Center, the Office of the University Registrar (OUR), the Office of Research Services (ORS), and BEN Helps on behalf of the department to answer questions and troubleshoot IT system issues.

  • Other duties and responsibilities as assigned.

Qualifications

  • High School Grad/GE Degree with 5-7 years of related experience or equivalent combination of education and experience is required. Bachelor's Degree and 3-5 years of related experience is preferred.

  • Candidate must possess excellent interpersonal and communication skills to work independently as well as part of a team with faculty and staff, while demonstrating pro-activeness, attention to detail, and the ability to multitask.

  • Proficiency in Microsoft Word and Microsoft Excel required.

  • Experience working in a university environment preferred.

  • Experience with visa processing helpful.

  • Experience with website development helpful.
