Job Description Summary

Penn Vet’s New Bolton Center provides an internationally renowned standard of care. Located on a campus of some 700 acres in Chester County, Pennsylvania, New Bolton Center has one of the largest caseloads of any academic large animal hospital in the nation.
Under the management of the Director of Imaging and Clinical Services, the Clinical Scheduling Supervisor manages a group of 5 scheduling coordinators who create all clinical elective appointments and provide administrative support for faculty of the Department of Clinical Studies, New Bolton Center. The individual must have an excellent grasp of customer service and experience in scheduling. New Bolton Center is located in Kennett Square, PA; this position is on-site. No public transportation is available.

Job Responsibilities

  • Oversee daily duties of employees to maintain a patient/customer focus, that supports the delivery of high-quality care, shares a passion for patient and customer centered care, and assists in meeting or exceeding client satisfaction and financial targets.
  • Provide guidance to employees in problem solving, policies, procedures and effective systems that support daily operations.
  • Prepare work schedules to provide adequate staffing needs and daily assignments.
  • Responsible for employee recruitment, performance management (including performance improvement plans)and scheduled PTO utilizing Workday software
  • Provide hospital on boarding and schedule training as needed for employees. Perform a daily QA on discharge letters to ensure that all clients and associated parties receive complete discharge letters.
  • Collaborate with other supervisors in hospital operations to provide excellent customer service from appointment making to patient final discharge.
  • Provide insight for process improvements regarding coordination of the scheduling of interdependent clinical schedules (diagnostic imaging, surgery, internal medicine).
  • Serve as a content expert on appointment making and relevant hospital applications used in patient management; be prepared to answer phones and schedule patients for all services in the face of staff shortages.


  • Assoc. degree and 2-3 years of experience in staff management or equivalent combination of education and experience is required. Bachelor's degree preferred.
    Three to five years of experience in scheduling appointments in a healthcare environment is preferred.
    Experience in maintaining calendars, ability to register patients quickly and correctly; computer knowledge (Microsoft Word, Excel, Outlook, Office 365) is required.
    Experience working in a fast-paced large animal hospital and knowledge of medical terminology is strongly preferred.
    The candidate must have excellent customer service and communication skills with the ability to maintain a kind and calm demeanor when handling challenging situations in a fast-paced environment.
    All candidates must have an eye for detail, strong organizational and administrative writing skills.
    Basic anatomy and horse knowledge is desirable.
