Program Manager, Student Engagement

Job Summary:

The Program Manager is supervised by the Program Director, The Change the World From Here Institute, and the Assistant Dean for First-Year Initiatives, New Students, and Family Programs and is a multifaceted position focused on supporting and managing various programs, initiatives, and administrative functions within the Student Engagement Unit. This unit includes the Office of the AVP for Student Engagement, Student Leadership and Engagement, The Change the World from Here Institute, New Student and Family Programs, The Cultural Centers, USF 101, and the Student Affairs Internship Program (SAIP). The Program Manager will have the most touchpoints with the New Student and Family Programs and Change the World from Here Institute in terms of programmatic and marketing support. This individual will coordinate key initiatives, including SAIP Preview Day and co-leading the Student Leadership Awards. Independent judgment is required to plan, prioritize, and organize a diversified workload and to recommend changes in business practices and procedures.

As a member of the larger staff in Student Life, the Program Manager collaborates to support student learning and development in the Jesuit Catholic tradition. The mission of Student Life is to fully support holistic student development within a social justice framework centered in preparing students to be caring, socially responsible citizens in our global and local community.

Full Job Description:

Essential Duties and Responsibilities
 

Program Management: 60%

  • Assist in the planning, development, execution, and evaluation of all New Student and Family Orientation (NSO) programs, including summer orientation, mid-year orientation, and online orientation modules. Potential for leadership of specific programs.

  • Assist in the planning, development, execution, and evaluation of all Change Institute programs, including Meet & Greets, Capstone Presentations, Induction Ceremonies, and Celebrations. Potential for leadership of specific programs.

  • Facilitate recruitment and selection processes for Change Institute Programs and GO Team.

  • Collaborate with the teams to ensure that programs are inclusive and address the diverse needs of incoming students, including first-generation, transfer, international, and underrepresented students.

Specialist Functions: 20%

  • Manage a range of projects resulting from the work of various divisional or campus-wide task forces/committees such as New Student Orientation, Family Programs, Cultural Centers, and Student Leadership and Engagement and Student Affairs Internship Program.

  • Oversee course registration for USF101, a one-credit course for new first-year students, including registration inquiries and Banner registration.

  • Support the Student Affairs Internship Program for recruitment, including Preview Days, by coordinating thorough candidate communication, interviews, and on-campus visits. Monitor aspects of the placement and interview process for prospective graduate interns.

  • Co-lead Student Leadership Awards for the Division of Student Life in recognizing exemplary student leaders throughout the academic year, which includes promotion, recruitment, and selection processes, as well as an awards ceremony.

  • Coordinate personnel files and Workday business processes including posting of job positions and onboarding for student staff of Student Engagement departments and student leaders including Chartered Student Organization Executives.

Marketing & Communication: (10%)

  • Manage communication for New Student and Family Programs and the Change Institute including email newsletters and inboxes, nomination processes, orientation guides, website updates, social media, and other marketing materials.

Office & Business Operations: (10%)

  • Receive cross-training in operations of Student Engagement departments to create a unified presence and responsive environment.

  • Monitor budgets related to New Student & Family programs, including compensation for USF 101.

  • Monitor faculty/staff support compensation for the Change the World From Here Institute programs.

  • Process award payments for Student Leadership Awards.

  • Facilitate speaker and performer agreements with internal and external guests.

  • Provide excellent customer service to a diverse constituency.

  • Responsible for being the resolution agent for students, staff, and faculty when issues arise.

  • Assume other duties as assigned.

Qualifications

Bachelor’s Degree required. Experience as a professional/administrative assistant in higher education/student services preferred. Rigorous attention to detail is required. Excellent oral and written communication skills. Strong proven skills in Windows Office and Google suite applications.  Ability to anticipate and follow through on assignments necessary for planning, implementing, and completing a variety of events. Ability to manage multiple tasks while meeting deadlines. Discretion in handling confidential material in a highly professional manner. Occasional evening and weekend work may be required.

$66,560-$71,700 annualized salary, commensurate with experience
