The USC Enrollment Services Division is seeking a Department Business Manager to join our team within the Finance and Administration Office. The Department Business Manager for administers the business operations for Enrollment Services, including various off-campus agencies. This individual will be responsible for accounting and financial operations, account reconciliations, off-campus agency accounts and other tasks as required by the Senior Business Officer.

Responsibilities include, but are not limited to the following:

  • Responsible for Monthly Student Aid Projections and General Ledger Account Reconciliations
  • Current Unrestricted Funds of $360M
  • Current Restricted Funds of $33M
  • Current Endowment Funds of $13M
  • Government Funds (Title IV Funding) of $35M
  • Direct Loan Program of $600M
  • Assist Financial Aid in ensuring the awards/expenses are in sync with the Department of Education.
  • Coordinate with Sponsored Projects to ensure the accuracy and timeliness of the funds draw down from the Department of Education.
  • Prepare the Annual Fiscal Operation and Application to Participate (FISAP) Report (required to participate in the Title IV Programs – i.e. College Work-Study, SEOG, and Perkins).
  • Coordinate with Financial Aid and Gift Services to ensure that donors receive the required annual reports, and that Financial Aid receives the annual gifts in a timely manner.
  • Act as a liaison to the Comptroller’s Office during the university’s annual audit as it relates to Student Aid and FISAP Report.
  • Administer the Off-Campus Agency College-Work Study Contracts.
  • Work with ESD, HR Partner and USC Payroll Services to ensure College Work-Study (CWS) students are paid correctly and billed to the correct Off-Campus Agency. Process payroll expense transfers as needed.
  • Process weekly & monthly invoices and receivables related to Outside Agency Scholarships and Off-Campus College Work-Study.
  • Assist in managing the accounting/financial staff and operations.  Provides training, guidance and feedback to staff.
  • Oversees account reconciliations and production of regularly scheduled reports for operating accounts.
  • Assist Senior Business Officer with developing annual budgets and forecasts.
  • Oversee the procurement of goods and services through the USC eMarket.
  • Train and assist over 130 ESD Staff with Corporate Cards in USC Expenditure Policies and Procedures.

This role serves as a departmental advisor and/or liaison to management on financial transactions –including P-Card and Corporate Card questions.  This position reports to the Senior Business Officer for Enrollment Services.

Minimum field of expertise
-Business administration, accounting or related degree and budget experience including knowledge of government and fund accounting. Demonstrated knowledge of generally accepted accounting principles and practices

Preferred experience
-Strong knowledge of Student Information System, Workday Financials, Student Accounting Principles, USC financial
management, and account reconciliations
-5 years
-Combined education/experience as substitute for minimum experience

Preferred field of expertise
-Knowledge of University financial policies, procedures and systems, and use of computerized spreadsheets and databases

Preferred education
-BS degree in accounting is strongly recommended
