The USC Finance Division is seeking an experienced Payroll Analyst to coordinate payroll and reporting for the division.




Reporting directly to the Manager, Data and Payroll Services the Payroll Analyst will supervise payroll and personnel-related documentation processing, ensuring that all transactions are delivered in a timely fashion and in accordance with regulations, processes and procedures. This position will also assist in running standard and ad-hoc reports for management and other departments in the Finance Division.  


The Payroll Analyst will

·        Ensure biweekly and monthly payroll is processed accordingly. Conducts bi-weekly and monthly payroll audits.  

·        Maintain time and attendance records. Maintains secure and accurate payroll files and records.  

·        Answers outside inquiries regarding payroll. Research and responds to employee payroll inquiries in a timely fashion.  

·        Maintenance of monthly and biweekly payroll/accounting transactions, activities and records in Workday/Kronos. Consults with internal clients to ensure payroll transactions and activities are in compliance with university policies and procedures. Monitors, reviews, verifies and audits moderate to complex payroll transactions for accuracy, completeness, timeliness and integrity of supporting documentation. 

·        Ensures processing of payroll accounting adjustments to allocate funds correctly, as needed or requested. Reconciles and tracks biweekly timesheets. Determines calculations for payroll checks and termination pay, as needed. Oversees submission of on demand check requests for late and additional payments due employees, as appropriate. 

·        Maintains knowledge of federal, state and local legal requirements by studying existing and new legislation; ensuring department’s compliance.  

·        Creates and prepares payroll and other ad-hoc reports as needed.  

·        Frequently interacts with all levels of management outside their direct area of supervision and across the Finance Division 

·        Performs other related duties as assigned or requested. The University reserves the right to add or change duties at any time 


Job Qualifications 

The ideal candidate for the position of Payroll Analyst meets the following preferred qualifications: 

·        3 or more years of payroll and human resources experience, preferably within a university setting. 

·        Knowledge of and ability to understand and adhere to procedures for payroll compliance; Knowledge of applicable state and federal payroll and benefit related tax regulations, legislation and reporting requirements. 

·        Previous experience with Workday.  

·        Previous experience with Kronos (a plus).  

·        Strong proficiency with MS Office, especially Excel using Pivot Tables, VLOOKUP, IFS, etc.  

·        Strong analytical and mathematical skills. 

·        Ability to set priorities to complete assignments in a timely manner in the face of changing priorities, fluctuating workload, and frequent interruptions. 

·        Ability to work with minimal direction and independently problem solve to resolution. 

·        Excellent written, oral and organizational skills. 

·        Ability to maintain strict confidentiality of sensitive and priority information.

Minimum Field of Expertise: Payroll experience in a position such as a technician, coordinator, analyst or supervisor. Skilled in payroll processing with knowledge of applicable federal, state, and local regulations. Demonstrated organizational, interpersonal and communication skills.
