USC’s Zilkha Neurogenetic Institute (ZNI) is seeking a Project Specialist-Administrative to join its team at the Health Science Campus.  The Project Specialist-Admin will assist in posting new positions for postdoctoral scholars, and will process all visas (J-1s, H-1Bs, and etc.) for staff and visitor scholar’s positions at ZNI.  The successful candidate will prepare the RAships offer letters each semester, prepare postdoc scholar’s appointment offer letters, prepare staff fixed term offer letters along with registration for ZNI postdoc scholar’s each semester, coordinating with the KSOM Research Administration and the KSOM Human Resources Office.

 This position will also be responsible for maintaining multiple databases of students, postdocs, visa renewals/expirations and an all-lab listing for the ZNI building.

The successful candidate will be cross trained on miscellaneous office tasks, Internal Requestions, JV Journals, PCard purchases and etc. 

Specialized skills are:

  • Assist with recruitment documents and job posting activities for faculty, staff and postdoc scholar hires
  • Prepare faculty dossiers with guidance from Faculty Affairs
  • Knowledge of payroll processes in a university setting
  • Preparing effort certifications quarterly for all staff employees paid on sponsored projects
  • Ability to communicate well with faculty, staff, and students
  • Assists the Research Team in the setup of satellite accounts, outgoing sub-awards and amendments
  • Assists with preparation of financial reports and or/progress reports
  • Submits invoices for approval and processing
  • Tracks expenditures and reconcile accounts
  • Serve as the backup to the current HRPAL for I-9 certifications and reverifications

Provides specialized professional support services to administrators and/or project managers in the administration of research and/or administrative projects. Assists in the administration and coordination of a variety of research and/or administrative projects including planning, budgeting, organizing, research and delivery of services. Coordinates and supervises work assignments of other administrative personnel as assigned.

Preferred Experience:

3 or more years of relevant work experience in payroll and HR related functions.

Experience working in higher education including faculty contracts.

Knowledge of Workday HRIS System.

Excellent verbal and written communication skills.

Team oriented self-motivated, strong work ethic with the ability to meet deadlines and interact with all levels of management.

Minimum Education: Bachelor’s degree, Combined experience/education as substitute for minimum education

Minimum Experience: 2 years

Minimum Field of Expertise: Directly related project or administrative experience.
