Responsible for advancing the department interests by overseeing all academic, administrative, financial, business, and human resources functions, proactively identifying opportunities for maintaining and increasing operational efficiency, business function agility, and quality of academic services, and maintaining strong communication ties with other department units (external engagement, research administration, and IT services), ECE-relevant organized research units (e.g., Microelectronics Research Center and Wireless Networking and Communications Group), Cockrell School of Engineering and other relevant university units. Must exercise a high degree of initiative, diplomacy, confidentiality, and judgment.

  • Oversee all Academic, Administrative, Financial, Business, and Human Resource functions. 

  • Assist Department Chair with operational, tactical, and strategic planning of a large and complex organization comprised of 800+ employees and a multi-million dollar budget. Identify operational needs; design and implement systems for improved administrative productivity and efficiency.

  • Recruit, hire, and train staff to ensure a high level of support for Department. Provide professional development and growth opportunities for staff. Coordinate yearly staff evaluation process, and make merit and equity recommendations.

  • Act as Department Resource for University, College, and Department Policies, particularly Faculty and Staff Affairs.

  • Oversee and manage budget submissions for staff, faculty, student employee, state operating funds, and oversee related reporting requirements including gifts and endowments.

  • Coordinate components of Supplemental Budget and collaborate with Curriculum Coordinators to account for faculty leaves, temporary hires, class coverage.

  • Execute or coordinate Faculty Affairs processes including Leaves, Offer Package Process, Appointments, Orientation, and Summer Faculty Assignments process. Coordinate Faculty Affairs Processes including Reviews (Annual, Post Tenure, 3rd Year), Promotion, PAR and Appointment Preparation, and Faculty Awards.

  • Oversee development and implementation of standards for attainment of all ECE academic advising goals and objectives, including goals related to student graduation rates, student recruitment, and student diversity. Act as point person for academic integrity issues for students and faculty in the department.

  • Co-facilitate assessment and accreditation process for the department and oversee course management and course enrollment via membership on the ECE Curriculum Committee.

  • Collaborate with Director of External Engagement to develop partnerships with corporations, private foundations, national engineering organizations/societies, and federal/state agencies to secure external funding to support ECE programs. 

  • Oversee space allocation. 

  • Serve as department Workday Administrator and oversee Cost Center Management functions. Oversee Dept. Electronic Office, review transactions and compliance for approval. Respond to Legal/Discovery/Subpoena Requests, Produce Administrative Reports, Maintain Department Official Records. 

  • Other related functions as assigned.

Required Qualifications

  • Bachelor’s degree and a minimum of ten years, demonstrating successful experience administering academic and administrative operations in higher education.

  • Knowledge of academic and administrative processes supporting a large organization.

  • Understanding and ability to converse thoughtfully and intelligently about academic and administrative operations.

  • Demonstrated ability to work effectively in a team-oriented environment. Demonstrated ability to work successfully with individuals at all levels of an organization.

  • Demonstrated organizational skills.

  • Excellent verbal, written, and interpersonal communication skills.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

  • Graduate degree in a relevant field.

  • Relevant professional experience in managing large academic and administrative units serving large and diverse student, faculty, and staff populations, with a track record of successful jumpstarting/leading new academic programs, strategic restructuring of administrative functions, and developing/implementing strategic plans.

  • Experience working in a STEM environment, ideally with a substantial research operation. 

  • Experience collaborating with development officers in a higher education environment for growth in innovation areas.

  • Experience working with faculty, staff, and students in an academic environment.

Salary Range

$90,000 + depending on qualifications

Working Conditions

  • Work is performed in a standard office environment.

  • Repetitive use of a keyboard at a workstation

  • Work outside of normal business hours will be required on a periodic basis during peak periods and for special events.

Work Shift

  • Standard business hours from 8am to 5pm, Monday – Friday

  • Flexible work arrangements, to include flexible schedules and hybrid telework, are supported relative to business need.

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
