This temporary assignment may transition to regular status. This assignment is located at the West Pickle Research Campus.

Purpose

Provide administrative support for Innovation and Economic Impact (IEI) operations as directed. 

Responsibilities

  • Assisting in front office reception duties, answering the main telephone line, and receiving packages and visitors as needed. Providing scheduling support as needed using Outlook calendar. Receiving and processing mail and courier packages and deliveries as needed.

  • Performing cashier duties by processing incoming checks as needed. Preparing processed checks for courier pickup and deposit. Preparing payment vouchers in *DEFINE. Assisting in Workday processes. General office duties: copying, filing, creating facilities work orders.

Required Qualifications

Bachelor’s degree and one year of experience at the Administrative Assistant level, OR High School graduation or GED. Minimum of five years of clerical experience, including one year of experience at the Administrative Assistant level or equivalent. History of regular and punctual attendance. Demonstrated ability to prioritize workload according to the needs of the business. Proficiency with Microsoft Office applications. Proven ability to provide accurate and error-free data entry and word processing. Proven experience managing calendars and schedules for mid-level executives or administrators. Demonstrated a high degree of efficiency and professionalism. Demonstrated excellent written and oral communication skills. Demonstrated ability to handle confidential information and documentation in a professional manner. Demonstrated ability to manage deadlines in a timely manner, continually prioritize workload, and work efficiently and effectively both independently and as a team member. Proven experience processing and arranging travel and related expenses. Ability to anticipate next steps and initiate action without being asked. Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Bachelors or advanced degree. More than five years working in an administrative support role. Demonstrated experience relating in a professional manner in person and via written communication. Proven strong work ethic. Prior experience using UT administrative and financial systems and integrated services such as DocuSign, *DEFINE, Workday, UTBox, WORQS, FRMS, PointPlus, and UT Market. Experience in using data entry applications and inputting accurate data directly into a database. 10-key by touch. Prior experience working in a university setting. Extensive knowledge and experience using a database to record and monitor data. Results-oriented individual with a proven record of developing and moving projects forward. Proven ability to accurately follow directions. Experience directly related to the functions described.

Hourly Rate

$18.00

Working Conditions

  • Attire: Business Casual

  • Jeans ok, no holes, no shorts

  • Standard Office Environment, Use of manual dexterity, Repetitive use of a keyboard at a workstation

Work Shift

  • Hours per week – 40

  • The work schedule is from 8:00 a.m. to 5:00 p.m.

  • Some flexibility – will need to be discussed with the supervisor
