Job Description Summary

Located in Charlotte, North Carolina, the School of Professional Studies is the newest school from Wake Forest University. SPS houses innovative graduate degree and non-degree programs, including certificates and other credentials, for working professionals.

The School of Professional Studies is seeking to fill the role of Faculty Talent Administrator to support the talent management process for faculty within the School by providing overall project coordination and ensuring operational excellence of HR-related functions including recruitment, onboarding, development, performance management, and departure procedures. This position is primarily responsible for the operational management of the Faculty and Accreditation Office in the School of Professional Studies.

This position is primarily responsible for the administrative oversight of faculty records, event planning, and faculty development. Additionally, the incumbent oversees the fiscal and personnel management of the Faculty and Accreditation Office and helps the Assistant Dean implement policies and procedures necessary for optimal performance.

Job Description

Essential Functions:

  • Serves as the faculty Talent Liaison to the Human Resources department on behalf of the School of Professional Studies and assumes tasks related to initiating, changing, or ending employment for all faculty in Workday, including the coordination and tracking of records.
  • Maintains processes related to hiring, onboarding, compensation changes, performance management and offboarding for the School in adherence to University and Department of Human Resources policies and procedures.
  • Manages and oversees all full-time faculty searches, including organizing search committees, liaising and consulting with faculty members, overseeing and managing applications in Workday, and hosting the candidates during their campus visits.
  • Manages hiring of adjunct faculty, including assisting in the vetting and review of potential candidates and securing relevant documentation.
  • Prepares and distributes correspondence pertaining to faculty appointments and faculty transactions as related to University and SPS policy.
  • Audits all levels of faculty data and payroll information to ensure accreditation and other regulatory compliance; creates systems and reports to ensure all office data needs are met.
  • Manages faculty communications efforts developed collaboratively with SPS leaders and staff.
  • Provides assistance in the onboarding of new faculty to Wake Forest and SPS.
  • Answers frequently asked questions from applicants and faculty relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate staff.
  • Collaborates with other Schools, Departments, and campus offices to ensure consistency of processes within the University and performs benchmarking analysis against similar universities. 
  • Performs other duties as assigned.

Required Education, Knowledge, Skills, Abilities:

  • Bachelor’s degree plus 3-5 years of related experience, or an equivalent combination of education and experience.
  • General knowledge of human resources functions, including, but not limited to, employment, laws, guidelines, and procedures.
  • Ability to maintain the confidentiality of privileged information and perform a range of duties that require sensitivity, independent judgment, flexibility, and discretion.

  • Proficiency or willingness to become proficient using a variety of technology (Workday, Microsoft Office, etc.) and effectively document and report. 

Preferred Education, Knowledge, Skills, Abilities:

  • Workday experience, specifically human capital management.
  • Previous experience in faculty affairs.

Accountabilities:

  • Works with minimal supervision.
