Business Technology (BT) in Workday continues its mission to deliver unparalleled value to our business partners and customers. The team of portfolio leads work with stakeholders within BT and outside to define, align on, and implement the strategic programs and operations. The team is also responsible for standardizing program methodologies, tools, and operations/metrics across the BT organization to provide a unified experience to business stakeholders and customers.

About the Role

The BT team is looking for an experienced Portfolio Operations professional to join the team. The ideal candidate will work across functional areas with business partners and will have a proven ability to implement change within a large scale organization. They will be responsible for managing the BT portfolio of work and capacity management.This role also focuses on identifying areas of improvement in existing processes and on removing portfolio roadblocks.

They are the organization’s expert on navigating operating model processes, including capacity and dependency management. They oversee operational process excellence from planning to commitment and are an invaluable resource to teams navigating these processes for the first time. They establish strong relationships with peers and influence future process improvements. We are looking for someone who is detail-oriented, organized, analytical, able to multitask across competing priorities and passionate about helping others. 

Key Responsibilities

  • Ensure alignment with portfolio management and partners in the portfolio management process including intake, prioritization, and status reporting. Ensure new requests are surfaced at the appropriate time in the planning cycle, and facilitate processes that allow the review and prioritization of those requests as well as monitoring of active requests until they are committed or deferred.

  • Champion a culture of innovation, experimentation, continuous learning and encourage teams to embrace new technologies, processes, and practices to improve efficiency and get results.

  • Collaborate with cross-functional teams, business partners, customers and executives to drive continuous improvement, transparency, and collaboration.

  • Liaise with the BT portfolio management to enable centralized resource management.  Enable standardized and flexible capacity planning and management.

  • Establish and maintain Key Performance Indicators (KPI's) to measure the success and effectiveness of the product operating model transformation efforts and provide regular reports and updates to leadership. In addition, be responsible for  your tower’s OKR process. 

  • Use a data-driven approach to see opportunities and roadblocks and to mitigate risks to transformation efforts. Work with teams to develop effective solutions to overcome challenges.

  • Principal level understanding of operating model methodologies, tools, and standard processes, and stay up-to-date on industry trends and developments.

  • Lead preparation of continuous planning status reports and metrics.

  • Define & implement comprehensive operational cadence aligned to Workday’s annual cadence & other key team members, including partnering with the BT PMO on Annual planning

  • Partner with leaders to assess existing processes and programs; find opportunities to redesign and take action to unlock value and drive organizational health

  • Support and/or execute key employee & leadership meetings, including All Staff Meetings, Quarterly Business Partner Reviews, Leadership Offsites, etc. 

  • Partner with Leadership to handle the budget on an ongoing basis

About You

  • 10+ years of experience in product or engineering organizations with a demonstrated ability of successfully leading transformation efforts in large organizations.

  • 5+ years of experience with Program Management, relationship management, and organizational change skills, including experience working with multiple partners.

  • Expertise with collaboration tools (i.e. G-Suite, Zoom, Slack, Miro) and Agile tools such as Jira and Confluence

  • Knowledge of Agile frameworks such as Scrum, Kanban and Lean, and experience implementing Agile practices and methodologies across multiple teams and departments

  • Ability to analyze data to provide meaningful insights that can be translated into action

  • Strong leadership, coaching, and communication skills, with the ability to effectively influence and collaborate with cross-functional teams, stakeholders, and executives.

  • Proven ability to synthesize information and see the big picture while efficiently handling details

  • Independently capable of seeking information, solving conceptual problems, corralling resources, and delivering results.

  • Excellent project management skills with the ability to build and implement actionable plans with detailed timelines and to manage multiple priorities and projects in a fast-paced environment.

  • Effective meeting management, presentation, and written / verbal communication skills

  • Enthusiastic self-starter who is a logical, analytical thinker and creative problem solver

  • Agile certification such as Professional Scrum Master (PSM), Certified Scrum Master (CSM) or Certified Scrum Product Owner (CSPO) certification is a plus.

  • Ability to influence others to achieve results

  • Results-oriented, self-directed, inquisitive, and entrepreneurial-minded

  • Strength in facilitating workshops, seeking input, and storytelling

  • Affinity for technology and innovation, and comfortable in a fast-paced environment

  • Business operations, or business planning function at a large enterprise company/firm

Workday Pay Transparency Statement

The annualized base salary ranges for the primary location and any additional locations are listed below.  Workday pay ranges vary based on work location. As a part of the total compensation package, this role may be eligible for the Workday Bonus Plan or a role-specific commission/bonus, as well as annual refresh stock grants. Each candidate’s compensation offer will be based on multiple factors including, but not limited to, geography, experience, skills, job duties, and business need, among other things. Primary Location Base Pay Range: $148,800 USD – $223,200 USD
