Job Description:

This position is responsible for all bookkeeping and financial accounting, including assisting in the preparation and monitoring of the annual budget. Coordinates human resource management, payroll/HRM, procurement, office management and other administrative tasks required for the operation of the Museum. Ensure sound business practices and perform daily business office operations. Keeps Executive Director and Deputy Director informed on all bookkeeping and financial matters.

Job Responsibilities:

Accounting: Responsible for all bookkeeping, accounts payable, accounts receivable, tracking, and reporting on financial data, including revenue/expense matching, account reconciliation, and deposits. Reconciles State, Foundation and Friends Board accounts with LSU MOA ledgers. Generates financial reports by the 20th of the following month. Assists in the preparation of financial budget variance reports bi-monthly (Advisory Board) and quarterly (Friends Board). Daily reviews Workday transactions for accuracy and completeness. Assists staff with LaCarte processes and compliance. 40%

Budget: Assists in the Museum's operating budget processes and accounting, including grants tracking. Advises and processes the use of Foundation accounts and  Friends accounts, including spend authorizations and Workday processes.  Assists with monthly ledger reconciliation, monitoring balances for the related departmental accounts and correcting journals to maintain accuracy of the department’s accounts under the supervision of the Executive Director. Supplies accounting tracking in support of financial and budgetary forecasts. Uses Quickbooks in consolidated accounting and reporting. 20%

Administrative: Assists with travel arrangements for staff and serves as equipment, and phone system coordinator Serves as departmental liaison to Copier Management and LSU Mailing Services. Serves as property inventory coordinator. Maintains office supplies, copier, and supply orders. Maintains Friends corporate files and required internal financial files. Assists in the preparation of agendas, minutes, and handouts for Advisory Board and Friends Board meetings at direction of Executive Director. 15%

Purchasing/Accounts Payable – As cost center manager has approval authority for Museum purchase requisitions. Coordinates invoice processing for direct charges and purchase orders.  Reviews purchases to ensure employees are in compliance with LSU and State procurement regulations and submit paperwork when a non-compliant purchase is made. Responsible for processing all Foundation, State and Friends Check Requests and Deposits. Understanding of procurement processes is expected. Enters purchases /expenses into the system. 10%

Human Resource Management/Payroll: Processes personnel forms as required by HRM and maintains personnel records and files. Reconciles monthly payroll to general ledgers.  Works with the Store Manager and Office of Student Aid to track time and payroll costs for Federal Work Study and President's Student Aid employees. Assists with Graduate Assistant payments as needed. 10%

Additional Responsibilities: Performs financial analysis and prepares reports as requested. Represents the museum to Business Manager meetings and others as assigned. Reviews, develops, recommends, maintains, and implements policy and procedures relating to financial coordination of the museum. Other duties as assigned. 5%

Minimum Qualifications:

Bachelor's degree in Accounting, Business or related field

Preferred Qualifications:

Master's degree in Accounting, Business or related field.

Years of Experience: 3 or more years of accounting experience

Specific Experience: Accounting processing and budgeting oversight experience. Experience with business transactions in a university setting; LSU Workday experience a plus.

Cash Handling -This position has access to/directly handles cash. Financial history/credit check required per FASOP HR-04.

FERPA -As with all LSU employees, due to this position title and/or responsibilities, this position has an obligation to assist students in the acquisition of necessary services. Should a student appear in need of or seek assistance with issues of an emotional, behavioral, or mental health related matter they should be referred to the proper service within the Student Health Center.
